Inspiration
Office supplies are essential for day-to-day operations in most businesses, but keeping track of them and ensuring that they are always available can be a time-consuming, challenging and frustrating task. For example, employees may waste time looking for supplies, which can lead to reduced productivity and frustration. Additionally, when supplies run out unexpectedly, it can cause delays and disruptions to important tasks and projects. Furthermore, ineffective office supply management can result in unnecessary costs. Over-ordering supplies can lead to excess inventory and waste, while under-ordering can result in rushed orders and higher prices. Overall, office supply management is a life problem because it can impact the daily operations of a business and have a ripple effect on employees, customers, and finances. Our slogan: “Save energy. Manage resources. Maintain efficiency” “Order in the workplace, order in the head”
What it does
OfficeMind is a client portal that streamlines the process of ordering and managing office supplies for office workers and managers. The application provides a platform for users to search for the best prices on office supplies from various vendors, making it easy to compare prices and find the most cost-effective options. Smart client portal helps to track and journal office supplies from both perspectives: worker's and admin's.
OfficeMind also offers an auto-scheduling feature that allows users to set up a recurring delivery schedule for their office supplies, ensuring that they never run out of essential items. This feature saves time and eliminates the need for manual ordering and scheduling of office supplies. In addition, the application provides a centralized platform for managing office supply expenses, allowing managers to monitor and control spending across different departments and locations. With OfficeMind, office supply management becomes more efficient, cost-effective, and organized, ultimately improving the overall productivity and performance of the workplace. Example of some features: the employee enters the number of pens that he took, after which the availability (tracker) of the pantry is updated, and the activity is logged (by the admin). In addition, employees can send one-time requests, which the admin can immediately add to the order being formed. Do you need something constantly according to the specifics of the business? Set auto delivery for certain products and they will be ordered automatically
How we built it
Creating OfficeMind was a journey that involved multiple steps and a variety of techniques. We began by conducting four interviews and thoroughly exploring our competitors to gain insight into the needs and expectations of our potential users. Next, we created user journey maps from both the workers' and managers' perspectives to fully understand their experiences and pain points in office supply management. These insights allowed us to use the "how might we" technique to generate potential solutions to address these challenges. We then brought our ideas to life by designing UI prototypes with intuitive interaction designs. This allowed us to test our solutions and refine them further, resulting in a user-friendly platform that simplifies the office supply management process. Overall, our journey involved extensive research, strategic thinking, and creative problem-solving to create a platform that meets the needs of both workers and managers.
Challenges we ran into
Our journey to create OfficeMind was not without its challenges. Initially, our idea was to create an Office supply shop, but we soon realized that we needed to pivot to meet the needs of our potential users more effectively. By embracing the insights and suggestions of our experts, market research, we discovered that there was a gap in the market for a comprehensive office supply price comparison website with a smart portal. With this knowledge, we set out to redesign our platform to meet these needs. The project as a whole, according to experts, is a voluminous b2b system, which requires a large amount of human and material costs.
Accomplishments that we're proud of
· a large number of system functions have been prototyped · in the process of creation, new insights were found that changed the creation plan, which indicates the growth of the tool
What we learned
· Collaboration is key: we LOVED our experts and mentor · Flexibility is essential: a lot of things happen off the plan · Innovation is a process: long process of ideation and workshops
What's next for OfficeMind - office supply shop with a smart customer portal
1. Expansion: We plan to expand our platform to include more suppliers, products, and services 2. AI and automation: AI and automation is extremely popular and efficient, so we would like to integrate it into our platform to make the supply management process even more streamlined and efficient.
