The problem our project solves

There are so many questions and needs about coming back to the office after the coronavirus pandemic.
And there seems to be no one and only answer. We collected different insights from the small and medium business community of stakeholders and what inspired us the most was this quote: "Prevention is just not possible without data".

The solution we bring to the table

That is why we have created HEYOffice - a platform that optimizes working processes between home and office while ensuring the safety of employees and the company’s suppliers.

HEYOffice helps employers in planning the everyday workflow and increasing the efficiency of their teams. Besides, it can monitor in real-time the sanitation status of the spaces and allow the cleaning planning.

HEYOffice includes three main touchpoints in the journey - a mobile app, a web app and a health kit provided to every employee which includes the minimum protective equipment (e.g. masks, sanitation products, hand-sanitizer, thermometer).

HEYOffice is totally compliant with the EU regulations on data protection and transparency. We take care of privacy because we want to offer a great option to help small and medium businesses to overcome contextual difficulties during this pandemic period.

What we have done during the weekend

We had a bunch of fun!

On Friday afternoon after the open ceremony, we have started our work. We have organized the job following the design thinking process.

In order to find the problem, we have done quick desk research on benchmarks while collecting general information about the context. We planned raw interviews with friends - 2 people each - and prepared a quick survey addressed to the C-level, reaching 11 people.

Brainstorming sessions!

We created a raw scenario highlighting the features related to our digital touchpoints: the mobile application and the web-app. We split up into groups in order to further develop the concept and deliver on time:

Service Team: concept development, Customer Journey, textual pitch.
UX/UI Team: mobile app and web-app wireframing and prototyping.
Brand Team: naming, brand identity research, logo and color palette definition.
Video Team: storyboarding, voice over and video making.
Business Team: Business Plan definition

And here we are: a huge team working effort and a great job just within 3 days!

The solution’s impact to the crisis

HEYOffice responds to the challenge of protecting employees, while facilitating the business continuity.
We aim at addressing issues such as:

  • re-thinking of the deployment of the company workforce
  • ensuring employees safety and minimizing physical contact while ensuring efficiency both during the transition period out of the crisis and in the medium-long term
  • quick and easy disinfection plan for offices and common spaces inside the building
  • driving a solution which might scale up from agencies and consultancies to industries
  • physical, psychological and emotional wellness as a priority of all the stakeholders involved

The necessities in order to continue the project

HEYOffice’s business model is based on the SaaS philosophy. Companies can pay a set-up fee for the use of the platform and the purchase of products included in the health kit. The fee depends on the number of users, and the main selling channel will be online: directly through the web-service desktop.

HEYOffice’s Technical Strategic Enablers are based on the partnership with external companies which are producing smart locks to manage access to the offices and their rooms, and a smart thermometer that is part of the health kit.

To achieve all that, we will need:

  • funding for design and developing
  • funding for user testing
  • funding for a digital marketing campaign (SEM, Adsense, SEO, advertorials)
  • partnership with a smart lock devices producer (providing SDK/API) to be installed in the rooms of the office
  • partnership with Health Kit and smart thermometers producers
  • a group of experts from the medical sphere to help us work on the employees' risks assessment.

The value of our solution after the crisis

HEYOffice’s value is not limited to only helping small and medium businesses in the coronavirus pandemic. Apart from the functionality helping to face the current situation, it has a long term plan.

Being flexible and customizable, it can trigger an inclusive ecosystem. The ecosystem will integrate more smart devices inside the building (e.g. smart cameras at the entrance to measure properly the temperature of people, elevators and smart locks for offices and meeting rooms etc.). Besides, it may include additional services outside the workspace, like booking the parking lots near the office or, through anonymous data sharing, improving the public transportation system in a smart city and open data perspective.

It might also evolve into a smart bracelet that will act like a badge enhancing contactless and crowd-free pathways while tracking employees’ vitals.

HEYOffice can respond to different industries, company needs and different office layouts. Integrating smart medical devices into its core system, it potentially becomes a HUB with a bunch of features covering all the needs.
