Inspiration

As a freelancer, I spent hours each month on invoicing—chasing payments, fixing incomplete invoices, and scrambling for tax-ready income summaries. I knew there had to be a better way to cut through the admin clutter and let freelancers focus on what they do best. That’s when FreelanceInvoice AI was born.

What it does

FreelanceInvoice AI automates professional invoice generation from pre-defined projects, tracks invoice status in real time, sends automated payment reminders, supports 50+ currencies, and generates tax-friendly annual income summaries. It uses AI to catch missing invoice details and keeps dashboards updated with key financial metrics.

How we built it

We started by mapping core freelancer pain points, then built a React frontend for the dashboard/invoice editor and Node.js backend to handle logic. We integrated PostgreSQL for data storage, AWS for hosting, and leveraged OpenAI API for error checking, ExchangeRate-API for currency conversion, and SendGrid for reminder emails. Chart.js added visual income tracking.

Challenges we ran into

The biggest hurdle was real-time currency conversion reliability—we had to build fallback logic for when API rates were unavailable. We also struggled with balancing automated reminder frequency to stay professional but effective, and ensuring invoice status updates synced across all pages instantly.

Accomplishments that we're proud of

We created a tool that eliminates 80% of manual invoicing work for freelancers. The AI error-checking reduces incomplete invoices by 90%, and the multi-currency support works seamlessly for global clients. Users can generate tax-ready reports in 1 click, compatible with major tax/accounting tools.

What we learned

We learned how critical user-centric design is—freelancers need simplicity above all, so we stripped out unnecessary complexity. We also mastered API fallback strategies and real-time data syncing, and gained insight into cross-border invoicing needs for global freelancers.

What's next for this project

Next, we plan to test limited payment gateway integration for direct client payments, build a lightweight client portal for invoice viewing, and add partial payment tracking. We also want to expand tax support to align with regional tax laws across more European and US states.
