Inspiration
The Weston Art & Innovation Center (AIC) is at a critical turning point. Having recently transitioned to an independent nonprofit, they face a Nonprofit Paradox: a sold-out calendar but a massive deficit in regional visibility and staff capacity. We were inspired to build a tool that solves their manpower gap without adding a single hour of work to their overextended team.
What it does
AIC Nexus is an autonomous "Ambassador Engine." It recruits, manages, and rewards regional students (high schoolers and college freshmen) who need service hours or resume-building experience.
- Automated Enrollment: Students sign up based on skills (Social Media, Tech, Outreach).
- Mission Dashboard: The system generates weekly "Quests" directly from the AIC’s strategic goals.
- AI Verification: Students upload "Proof of Work" (photos/links), and our Gen-AI engine verifies the task and awards points automatically.
- Gamified Rewards: Students unlock perks like tech certifications, makerspace access, and automated letters of recommendation.
How we built it
We utilized a Python-based backend to handle the mission logic and integrated OpenAI's Vision API to create an automated "Proof of Work" verification system. The frontend was prototyped in Figma and built to be a responsive web portal that works for both mobile-first students and desktop-based administrators.
Challenges we faced
The biggest hurdle was ensuring the system remained legally and ethically sound for minors. We implemented a parental consent logic flow and focused the platform on "Service Learning," ensuring the primary beneficiary is the student's personal growth. Technically, fine-tuning the AI to distinguish between a "successful mission photo" and a generic upload was a significant challenge in prompt engineering.
Accomplishments that we're proud of
We created a "Set it and Forget it" architecture. The fact that the AIC staff can now manage a 20-person regional outreach team with zero additional manual effort is our proudest achievement.
What we learned
We learned that the most powerful resource for a nonprofit isn't just money, it's mobilized community talent. We also deepened our understanding of building autonomous systems that bridge the gap between human volunteerism and AI-driven management.
What's next for AIC Nexus
We plan to build a "Modular Template" so other regional nonprofits (like the Charles River Museum) can plug in their own strategic plans and launch their own Nexus Ambassador programs in minutes.
