*) Inspiration: In today’s fast-paced business world, professionals constantly juggle between meetings, emails, reminders, and reports — often losing precious time switching between different apps and tools. We asked ourselves a simple question: “What if managing your entire workday could be as easy as talking to a real assistant?” That thought became the spark for VocaDesk — an AI-powered voice secretary that helps business professionals perform tasks and fetch information hands-free, using only natural voice commands. Our inspiration came from the growing demand for hands-free productivity and the success of voice assistants like Siri and Alexa — but we wanted to create something that could truly understand business context, not just commands.

*) What it does: VocaDesk is an intelligent voice assistant designed to handle business tasks effortlessly through speech. You can simply talk to it, and it executes actions like: 🗓️ Scheduling and rescheduling meetings ⏰ Setting reminders and follow-up tasks 📝 Summarizing meeting notes or call transcripts 🤝 Managing client data and follow-ups (CRM integration) It’s like having a personal voice-powered secretary that’s available 24/7 — professional, reliable, and always ready to help.

) How we built it: Using AI as a powerful tool for it **Speech-to-Text Conversion: Used APIs like OpenAI Whisper or Google Speech Recognition to accurately transcribe the user’s voice commands into text. **Intent Detection & Task Understanding: A custom LLM prompt was built (using GPT-4 or Gemini) to interpret user intent — whether it’s scheduling, emailing, reminding, or reporting. **Task Execution Layer: Built integrations with Google Calendar, Gmail, and Notion/CRM APIs to actually perform the requested tasks. **Response Generation: The AI generates professional, structured responses confirming the action. Example: “✅ Meeting scheduled with Sales Team on Oct 12, 11 AM.”

*) Challenges we ran into: Getting the AI to correctly understand natural, ambiguous voice commands like “Move it to next Friday” or “Tell Riya thanks for the update.” Integrating multiple APIs smoothly (Calendar, Mail, CRM) while keeping real-time performance. Handling context awareness, so the assistant remembers previous conversations in the same session. Maintaining professional tone and accuracy in generated emails and summaries.

*) Accomplishments that we're proud of: Built a fully functional voice-based AI assistant that actually executes real business tasks. Created a custom prompt framework that handles multiple domains (emails, scheduling, CRM) in one system. Designed a smooth, natural voice-to-action pipeline that feels intuitive and human-like. Presented a solution that’s scalable across industries — from startups to enterprises.

*) What we learned: The real power of LLMs lies not just in answering questions, but in understanding intent and triggering actions. Combining speech recognition + AI reasoning + API automation can lead to surprisingly powerful results. Effective prompt engineering and response design make the assistant’s personality and clarity stand out. Simplicity and user experience are more important than fancy features — users love clean, direct responses.
