Inspiration
Every summer and holiday season, organizations face the same nightmare: key employees take PTO simultaneously, leaving critical projects without necessary skills. Managing PTO requests becomes chaotic during holidays and peak vacation periods, leading to coverage gaps and disrupted workflows that cost organizations millions in productivity losses. While existing workforce management tools handle approvals, they often struggle with the complex challenge of optimizing who should work when. TimeAway addresses this by transforming PTO scheduling into a more efficient, automated process.
What it does
TimeAway is a production-grade workforce optimization engine that solves multi-constraint scheduling in real-time. Our custom constraint satisfaction algorithm automatically generates optimal work schedules while juggling approved PTO, skill requirements, work-life balance limits, and task deadlines simultaneously. The system analyzes skill distributions to prevent bottlenecks, uses exhaustive permutation testing for optimal solutions, and employs fast MCP agents for distributed processing with real-time feasibility checking.
How we built it
We developed a custom constraint satisfaction algorithm that tackles complex optimization problems in real-time. The HorizonSchedulerPTO engine employs multiple strategies: skill rarity scoring to prevent bottlenecks, deadline-driven task ordering, and exhaustive permutation testing for optimal solutions. Built on Python with MongoDB for workforce data relationships, the system maintains rolling 7-day work histories while coordinating MCP agents for department-level parallelization and specialized constraint validation.
Challenges we ran into
Building a custom algorithm that could solve complex workforce optimization while maintaining real-time performance required careful architectural design. Implementing rolling 7-day temporal constraints with historical state management created validation challenges across the system. Coordinating distributed MCP agents for parallel constraint satisfaction while ensuring consistent results demanded sophisticated synchronization logic. We also built comprehensive fallback mechanisms when constraints become over-satisfied, ensuring graceful degradation rather than system failure.
Accomplishments that we're proud of
Our solution tackles a problem that many organizations currently handle with manual processes or simple heuristics. The custom algorithm successfully balances competing constraints that would break traditional scheduling systems. The multi-strategy optimization with exhaustive permutation testing delivers mathematically optimal solutions, while skill rarity analysis prevents organizational bottlenecks before they occur. Most importantly, we built enterprise-grade performance that scales across departments while maintaining real-time responsiveness.
What we learned
Constraint satisfaction in workforce management is exponentially more complex than traditional scheduling problems. We discovered that skill bottleneck detection is critical for preventing organizational failure points, and that multi-strategy approaches are essential when dealing with over-constrained systems. Building distributed MCP agent architecture taught us how to coordinate complex optimization modules while maintaining system reliability under enterprise workloads.
What's next for TimeAway
We plan to integrate machine learning for predictive constraint relaxation and enhanced MCP agent coordination for adaptive real-time scheduling. Advanced features include automated skill development recommendations based on bottleneck analysis, expanded constraint types for regulatory compliance, and direct integration with existing HRIS systems. TimeAway's optimization engine is designed to become the computational backbone for next-generation workforce management across industries.
