Inspiration
Small businesses and growing teams handle important financial documents every day. Contracts, invoices, payment terms, and supporting records are often scattered across folders, making it difficult to verify information, identify discrepancies, and maintain accurate records. I wanted to explore how AI and network-attached storage could make this process simpler, faster, and more reliable.
What it does
VaultOps AI is an AI-powered business document intelligence solution designed for UGREEN AI NAS. Its core workflow focuses on contract and invoice analysis. It helps users:
- Identify and review relevant contracts and invoices.
- Extract important details such as parties, amounts, dates, and payment terms.
- Compare contract terms against invoice information.
- Flag missing information, inconsistencies, and potential discrepancies.
- Generate structured reports with supporting document references. The goal is to help businesses make better-informed financial and operational decisions. ## How we built it VaultOps AI is being developed as a NAS-native AI workflow using the UGREEN AI NAS Skill framework. The planned architecture uses a structured Skill entry point, documented workflow instructions, validation guidelines, and safety rules. The workflow is designed to use the NAS as its central document workspace, helping users work with their business records and generate useful insights without unnecessarily disrupting existing processes. ## Challenges we ran into One of the main challenges is designing a workflow that can interpret different document formats while remaining accurate. Contracts and invoices may contain inconsistent layouts, missing information, amendments, or conflicting figures. Another challenge is ensuring that the AI distinguishes between verified information and assumptions. Financial document analysis requires traceability, clear evidence, and careful handling of uncertainty. ## Accomplishments that we're proud of We have developed a focused solution concept around a practical business problem, with a defined document reconciliation workflow and clear safety boundaries. We are also prioritizing explainable results, source references, and a workflow that fits naturally into a NAS-based environment. ## What we learned Building useful AI solutions requires more than connecting a model to documents. The workflow needs clear instructions, reliable information extraction, validation, evidence-based reporting, and safeguards against unsupported conclusions. We also learned to treat the NAS as more than storage: it can serve as an important foundation for intelligent business workflows. ## What's next for VaultOps AI The next stage is to complete the Skill implementation, validate it against realistic contract and invoice scenarios, and test it on the UGREEN AI NAS environment. Future improvements could include support for additional document types, recurring invoice reviews, audit-ready reporting, and broader business operations workflows.
