Inspiration
Universities today face recurring issues with outdated student ID systems — from long entry queues and manual verification to lost cards and security breaches. During MkSU Hackfest 2025, our team wanted to reimagine how campus access could work in a smarter, faster, and more secure way. Seeing how QR codes simplified verification in other industries, we were inspired to apply the same approach to university ID management within a tight 72-hour development window.
What it does
The University QR Code Entry Management System is a digital access platform that replaces manual ID checks with a modern, QR-based process. It allows students to:
Instantly verify their identity by scanning a personal QR code.
Report lost IDs directly through the mobile app.
Receive push notifications when a lost card is detected.
Administrators can:
Monitor entry logs in real time.
Get alerts for suspicious scans.
Manage student data securely through a dashboard.
The system boosts security, saves time, and enhances efficiency across the university.
How we built it
We developed the system in just 72 hours during MkSU Hackfest 2025 using an agile, hands-on approach:
Day 1: Brainstormed the problem, designed the UI/UX, and built the backend database structure.
Day 2: Developed the Android mobile app with QR code generation, scanning, and authentication.
Day 3: Implemented the admin dashboard, real-time notifications, and integrated all components for the final demo.
Our tech stack included Android (Java/Kotlin), Firebase, MySQL, and a lightweight web-based dashboard for administrators.
Challenges we ran into
Balancing speed and quality under a strict 72-hour deadline.

Managing different device resolutions and offline functionality.
Despite these challenges, teamwork and efficient task allocation helped us deliver a working prototype on time.

Our next goal is to refine and scale the project beyond the hackathon. We plan to:
Integrate biometric verification for enhanced security.
Expand the dashboard with analytics and visual reports.
Conduct a pilot test across multiple buildings at Machakos University.
Deploy a cloud-hosted version for other institutions interested in digital ID management.
The hackathon may have ended, but our vision to make university access smarter is just beginning.
