Inspiration
University life is full of amazing events, but managing them is often chaotic. Society presidents struggle with registrations, treasurers chase payment proofs, students miss events due to scattered information, and admins spend hours manually verifying accounts.
We wanted to fix this mess. UniEvent HQ was born from the frustration of seeing great events poorly organized — and the dream of making campus life smoother for everyone.
What it does
UniEvent HQ is a complete event management platform for universities.
- Students can browse events, register easily, and receive a personal QR code for entry.
- Society Presidents can create events, manage members, and track registrations.
- Treasurers can verify payments and manage society bank accounts.
- Admin (Student Affairs) can approve student accounts and oversee everything.
From registration to QR-based entry at the gate — everything is seamless and digital.
How we built it
We built it using a modern full-stack approach:
- Backend: Fastify + Drizzle ORM + Neon PostgreSQL
- Frontend: React Router + Tailwind CSS + shadcn/ui
- Auth: JWT with refresh tokens and role-based access
- Monorepo: PNPM Workspaces
- QR Codes: Real-time scanning and generation
We focused on clean architecture, proper database transactions, and intuitive UX so every user sees exactly what they need.
Challenges we ran into
- Handling complex role system (Admin, President, Treasurer, Member, Student)
- Making payment verification flow smooth and secure
- Implementing reliable QR code scanning and verification
- Managing multiple time slots per event
- Balancing simplicity for students with powerful tools for societies
Accomplishments that we're proud of

What's next for UniEvent HQ
We plan to:
- Add push notifications for event reminders and society subscriptions
- Implement online payment gateway integration
