A new, optimized website & automated workflow designed to create ease for the business - internal users (staffs, fleet - facility managers) to establish rentals between UCANChicago and requestors

Inspiration

As UCANChicago optimizes their mission to help underrepresented communities, the usage of PowerAutomate creates an innovative way to support the continuum of care they represent. UCANChicago can continue to digitize the system in which they manage the way they rent out their vehicles to their approved drivers, to automate their facilities, pushing forth the importance of their programs rather than the paperwork.

What it does

An easy-to-use website allows for a user to submit a rental request for a vehicle, allowing for both a company manager and facility manager to approve or deny any request. By using PowerAutomate, this allows both managers to be able to keep track of all requests, and whether their status was approved or denied.

How we built it

SharePoint allowed for a webpage to be created to connect with Power Automate. Power Automate created two different flows (one for the request form and one for the return form) to be able to process information that would be sent between the fleet request, fleet manager, and facility manager. Outlook would process each request, which would be tracked by different Excel sheets that are embedded into webpages located in SharePoint.

Challenges we ran into

Learning Power Automate and SharePoint created a learning curve for our group. After primarily using Google based programs and Python IDE's, Power Automate felt like learning a new coding language, leaving a lot of time to be spent learning this new software rather than solving the problem itself.

Accomplishments that we're proud of

After spending a mass amount of time learning how to use Power Automate, creating a flow that works and connects to different web pages and Microsoft programs showed innovation during the creation. All of the web pages were created using two flows, allowing for an optimized effort to connect the work between the fleet request, fleet manager, and facility manager.

What we learned

Not only did we learn how to use the new Microsoft software itself, but the focus on teamwork and innovation remained rampant. The solution of the problem may not be abundantly clear, highlighting the importance of team work, especially in software development, to create this program from scratch.

To fully optimize this new program, we can connect this information to the company's database, allowing for UCANChicago to have direct access, rather than fleet.manager6, fleet.request6 etc.
