We developed a digital solution to streamline vehicle rentals and returns. Our Fleet Management platform automates the entire workflow using SharePoint, Microsoft Forms, and Power Automate, enabling UCAN staff to submit vehicle requests, managers to approve or reject with comments, and facility managers to allocate vehicles and verify their condition upon return. The system supports multiple use cases, improves efficiency, and enhances transparency by providing a centralized repository for all transactions. Despite challenges in workflow design and data validation, we successfully reduced approval times, improved accountability, and ensured scalability. Future plans include advanced reporting with Power BI, mobile accessibility, and integrating vehicle maintenance tracking.
