TrialGrid

Enterprise Command Center for Clinical Trial Operations

Inspiration

Medical breakthroughs shouldn't die in operational gridlock. Over 80% of clinical trials miss execution deadlines, burning anywhere from $600,000 to $8,000,000 every single day in market delays.

Seeing research teams struggle with fragmented spreadsheets and manual audit preparation sparked TrialGrid—an enterprise command center built to bring high-stakes logistical precision to clinical trial operations.

What it does

TrialGrid is a non-code enterprise operations workspace built for Contract Research Organizations (CROs) and biotech directors. It unifies multi-site trial tracking, supply logistics, and regulatory compliance into a single control hub:

  • Multi-Site Protocol Tracker: Standardizes patient intake, trial milestones, and protocol adherence across global sites.
  • Audit Readiness Engine: Logs protocol deviations and informed consent versions in real time for instant FDA/EMA audit exports.
  • Site Supply Logistics: Monitors investigational drug inventories, biological sample storage conditions, and site equipment.

How we built it

Because Graphiques is a non-code challenge, execution focused on system architecture, high-density UI/UX wireframing, and quantitative risk modeling:

  1. System Architecture: Mapped multi-tenant permission structures connecting Site Coordinators, CRO Executives, and Regulatory Auditors.
  2. High-Density UI/UX: Designed desktop dashboard wireframes utilizing spatial hierarchy and custom status iconography for fast visual parsing.
  3. Quantitative Risk Model: Developed the mathematical engine driving automated site-health alerts.

Site Risk Index

The Site Risk Index ($R_s$) evaluates operational risk in real time:

$$ R_s = w_1\left(1-\frac{E_{\mathrm{actual}}}{E_{\mathrm{target}}}\right) +w_2P_{\mathrm{drop}} +w_3(1-C_{\mathrm{audit}}) $$

Where:

  • $E_{\mathrm{actual}} / E_{\mathrm{target}}$ is the patient enrollment ratio.
  • $P_{\mathrm{drop}}$ is the projected attrition rate.
  • $C_{\mathrm{audit}} \in [0,1]$ represents compliance posture.
  • The weights satisfy $w_1+w_2+w_3=1$.

Financial Recovery Model

Total financial recovery ($L_{\mathrm{saved}}$) is modeled by:

$$ L_{\mathrm{saved}} = \Delta t \cdot C_{\mathrm{delay}} $$

Where:

  • $\Delta t$ is trial time saved, measured in days.
  • $C_{\mathrm{delay}}$ is the daily overhead delay cost.

Challenges We Ran Into

  • Signal vs. Noise: Enterprise SaaS tools easily become illegible data dumps. Structuring multi-site data so directors can spot critical anomalies in seconds required strict layout grid rules and high-contrast status cues.

  • Compliance Friction: Designing real-time audit logging that aligns with strict regulations, including FDA 21 CFR Part 11, without adding administrative burden for clinical staff on the ground.

Accomplishments We're Proud Of

  • Architected an operational blueprint that bridges complex regulatory standards with an intuitive visual workspace.
  • Built a quantitative risk framework that shifts clinical trial management from passive monthly reporting to active risk prevention.

What We Learned

  • Clinical trial delays are rarely caused by a lack of raw data; they stem from a lack of prioritized signal visibility.
  • Enterprise healthcare solutions must treat regulatory compliance as a core design constraint, rather than an afterthought.

What's Next for TrialGrid

  • Translating the UI component system into interactive Figma prototypes for submission.
  • Conducting feedback reviews with CRO operational managers to refine notification thresholds.
  • Expanding the supply logistics framework to include cold-chain temperature telemetry models for biological specimens.
