Inspiration

Travel consultants spend a significant amount of time processing hundreds of client email requests every day. Each request requires manually extracting travel details, searching flights in Amadeus, preparing quotations using client-specific templates, and sending them via email. This repetitive workflow leads to slower response times, increased operational effort, and a higher risk of human error.

We wanted to reimagine this process using AI and automation, enabling travel consultants to focus on delivering exceptional customer service instead of performing repetitive administrative tasks.

What it does

TravelOpsAI is an AI-powered travel quotation assistant that transforms unstructured client emails into ready-to-send travel quotations.

The solution automatically:

  • Reads incoming travel requests.
  • Uses a GenAI model to extract travel details from unstuctured emails.
  • Converts city names into standardized IATA airport codes.
  • Searches available flights through the Amadeus API.
  • Presents flight options in an intuitive UiPath App / Power Apps interface.
  • Allows consultants to select preferred itineraries.
  • Automatically populates client-specific quotation templates.
  • Sends professionally formatted quotations directly to clients via email.

By combining AI with UiPath automation, TravelOpsAI significantly reduces manual effort while improving speed, consistency, and accuracy.

How we built it

Our prototype was built using the UiPath automation platform integrated with Generative AI and external travel APIs.

The workflow begins when a travel request is received. The GenAI model extracts travel information, which is validated and converted into structured data. The automation then queries the Amadeus API, retrieves available flights, and displays them inside the UiPath App. After the consultant selects an itinerary, the bot automatically generates the client-specific quotation and emails it to the customer.

Challenges we ran into

Extracting accurate travel information from emails written in different formats and styles. Converting natural language locations into standardized IATA airport codes. Integrating AI-generated output with downstream automation workflows. Mapping flight data into multiple client-specific quotation templates. Designing an intuitive user interface that keeps travel consultants in control while minimizing manual effort. Coordinating multiple UiPath components and external APIs into a seamless end-to-end workflow.

Accomplishments that we're proud of

Successfully built a working prototype demonstrating an end-to-end AI-assisted quotation workflow. Reduced manual data extraction by automatically converting unstructured emails into structured travel requests. Integrated Generative AI with the Amadeus Flight API for intelligent flight search. Developed a user-friendly UiPath App that enables consultants to review and select flight options. Automated quotation generation and email delivery using client-specific templates. Created a scalable architecture that can be extended to support additional travel services.

What we learned

This project demonstrated the power of combining Generative AI with robotic process automation. While AI excels at understanding unstructured information, UiPath provides the orchestration needed to execute reliable business processes. We also gained valuable experience integrating external APIs, designing AI-assisted user experiences, and building scalable enterprise automation solutions.

What's next for TravelOpsAI

Our vision is to evolve TravelOpsAI into a fully autonomous travel operations platform.

Future enhancements include:

  • End-to-end flight booking after client approval.
  • Hotel, visa, insurance, and car rental quotations.
  • Multi-city and complex itinerary support.
  • AI-powered flight recommendations based on traveler preferences and company travel policies.
  • Integration with CRM, ERP, and payment systems.
  • Support for multilingual travel requests.
  • Real-time pricing updates and fare change notifications.
