Inspiration

The Crafters Hub is a woodworking school in Cairo, Egypt. Two co-founders — a designer and a craftsman — run a space where students come to learn traditional and modern woodworking: hand tools, power tools, woodturning, kumiko, bowl-making. Real craft. Real students.

Behind the beautiful workshop was a fragile operational spine. Every booking arrived through WhatsApp and was tracked manually. Every customer question was answered by hand, no matter how repetitive, no matter the hour. Financial records were scattered across OCR receipts, SMS bank notifications, and paper invoices. There was no dashboard, no automation, no institutional memory.

There were also no engineers on the team.

And quietly, in the background: master woodturning craftsmen with decades of experience were aging. Rare techniques — passed down orally, demonstrated by hand, never written — were at risk of disappearing entirely.

What it does

The Cabinet is a fully self-hosted, AI-augmented operations platform running on a single Dell workstation at the workshop. It replaces the fragile manual spine with five live Gemini-powered pipelines:

1. AI Concierge — Shadow Mode monitors every incoming WhatsApp message in real time. It searches 553 knowledge base entries using semantic RAG retrieval, classifies intent, and generates a proposed response — then logs it silently. 937 training pairs captured. The AI is not responding to customers yet. This is intentional: our customers come for a warm, expert, human experience. The AI must earn that voice before we activate it. Shadow mode is our responsible AI safety gate — in practice, not just in theory. All customer communications adhere to Egyptian Consumer Protection Law (Law 181/2018) with a 14-day 100% refund guarantee, while data retention is governed by automated 90-day PDPL (Law 151/2020) purge lifecycles and human-gated financial escalation.

2. Gordon — Autonomous CEO Intelligence Agent connects every Friday at 10:00 AM to the live PostgreSQL database, analyzes verified financial transactions and student records across 5 SQL CTE dimensions, and emails a complete business intelligence report to the CEO. No human step. No analyst.

3. Heritage Archive processes traditional woodworking techniques submitted via WhatsApp — in Arabic — structures them using Gemini, embeds them as 768-dimensional vectors, and stores them for permanent semantic search. 5 distinct techniques preserved from across Egypt. Some exist nowhere else in digitized form.

4. Finance OCR Pipeline processed 135 invoice images in a single Gemini Batch API call — structured, categorized, and injected into the live ledger, reconciled against SMS bank confirmations.

5. SQL Data Agent lets the CEO ask business questions in plain Arabic or English. Gemini translates to PostgreSQL and returns live answers in seconds. "Which course generated the most revenue this quarter?" — answered in 3 seconds.

A sixth system, Live Brain, runs a Gemma-4 E4B model locally on the workshop's GPU via Ollama — voice-activated, camera-aware, fully offline, deliberately kept off the Gemini API to preserve quota and keep the edge layer at zero cloud cost.

The entire platform runs on 16 Docker containers with a full monitoring stack — Prometheus, Grafana, Alertmanager, Metabase — all self-hosted. At $0/month in infrastructure cost.

How we built it

The tool that made this possible for non-engineers: Gemini. Not as a chatbot. As a co-engineer, debugging partner, and teacher simultaneously.

Every architecture decision, every SQL query, every security configuration was developed in conversation with Gemini and the Antigravity IDE. When a webhook broke, we fixed it together. The AI transferred engineering literacy to people who had none — one session at a time.

The build ran six months. May 19, 2026 was the final sprint: deploying The Cabinet into production.

Challenges we ran into

No engineering background. Every concept — Docker networking, webhook security, vector embeddings, SQL CTEs, API authentication — had to be learned from scratch during the build itself, in the margins of a working business with live students and weekly classes.

Financial reconciliation at scale. 135 invoice images in mixed formats, handwritten Arabic cash receipts, and SMS bank notifications all had to be unified into a single verified ledger. Training Gemini to reliably parse handwritten Arabic receipts remains an open problem on our roadmap.

Responsible AI deployment. Activating the Concierge without destroying the warmth that defines The Crafters Hub customer experience required building shadow mode from the ground up — capturing 937 training pairs to evaluate quality before any autonomous response is ever sent.

August 4th. Our co-founder Mostafa Fahmy was hospitalized following an accident. We paused the business on August 6th. Fixed costs continued while revenue stopped. We finished the submission in his honor.

Accomplishments that we're proud of

• 129 students formally enrolled. EGP 2,324,659 in total verified revenue — reconciled transaction by transaction against bank SMS confirmations.
• 937 AI training pairs captured in shadow mode before a single autonomous response was sent — because we believe responsible deployment means earning trust first.
• 5 traditional woodworking techniques from across Egypt preserved in permanently searchable vector form. Some exist nowhere else in digitized form.
• $0/month infrastructure cost for an enterprise-grade AI operations platform. Sixteen containers. Full observability stack. Zero cloud bill.
• Non-engineers built this. A designer and a craftsman. That is the whole point.

What we learned

AI is not a product category. It is a capability multiplier — but only if you treat it as a collaborator rather than a vending machine.

The most important thing Gemini did in this project was not generate code. It transferred understanding. Every session that ended with a working system also ended with us understanding why it worked. That accumulation of transferred literacy is what made the next problem solvable.

We also learned that responsible AI deployment is not a policy document — it is an architectural decision. Shadow mode exists not because regulations required it, but because our customers deserved it. What's next for The Cabinet

There is an assumption in the startup world: AI is for funded tech companies. You need engineers. You need budget. You need a team.

The Crafters Hub disproves this directly.

The vision: package The Cabinet as a replicable SaaS platform for artisan schools and studios across the MENA region. The system is already modular, self-contained, and documented. If it worked here — in Cairo, with no engineering background, at zero infrastructure cost — it can work for every maker, studio, and craft school in the region.

Immediate next steps:

• Activate the AI Concierge — 937 training pairs are ready; the safety gate is approaching green.
• Complete Arabic handwritten receipt OCR — the last gap in full financial automation.
• Package The Cabinet as SaaS — white-label deployment for other MENA artisan schools and creative studios.
• Use the prize fund as runway for SaaS development and regional outreach — and to hire additional instructors, produce online courses with proper equipment, and expand our handcrafted woodwork line so the school's craft reaches beyond Cairo.

The Cabinet is not a prototype. It is live, it is running, and it is making real business decisions today.
