TaskPilot — Turn Overwhelming Tasks Into Clear Action
Inspiration
Students often have many things to manage at once: assignments, exams, personal responsibilities, and deadlines. The challenge isn't always knowing what needs to be done. It's deciding where to start, breaking large tasks into manageable steps, and getting back on track when plans don't go as expected.
We created TaskPilot with one simple idea: productivity tools should adapt to people, not force people to adapt to complicated workflows.
Our goal is to build an AI-powered productivity assistant that helps students organize their responsibilities, focus on the next meaningful action, and make progress without feeling overwhelmed.
What It Does
TaskPilot is an accessibility-focused productivity workspace designed to turn a confusing task list into a practical daily plan.
Our core concept includes:
- Smart Task Planning: Break large assignments into smaller, actionable steps.
- Intelligent Prioritization: Organize tasks using deadlines, importance, and estimated effort.
- Daily Scheduling: Build a realistic plan around the user's available time.
- Recovery Mode: Reorganize remaining tasks when something is delayed or missed.
- Accessible Focus Mode: Keep the experience clear with readable text, keyboard-friendly controls, and a distraction-free interface.
- Progress Tracking: Help users understand what they have completed and what remains.
TaskPilot is designed to make productivity more manageable, flexible, and accessible.
How We Built It
We approached TaskPilot as a practical engineering problem rather than simply building another chatbot.
Our planned technology stack includes Python, Streamlit, SQLite, Pydantic, and an optional hosted language model API. Python handles the core application logic, SQLite stores tasks and progress, and Pydantic validates structured data.
Our AI-agent approach separates responsibilities into focused workflows:
- Planner: Breaks larger tasks into smaller actions and suggests priorities.
- Scheduler: Organizes tasks around the user's available time.
- Recovery Agent: Helps rebuild a plan when priorities or circumstances change.
- Validator: Checks the generated plan for scheduling conflicts and invalid data.
An important design decision is that AI suggestions should not be trusted blindly. Deterministic scheduling logic validates durations, available time, and task conflicts. A fallback workflow keeps the core experience usable when an AI service is unavailable.
We are prioritizing a working, accessible prototype before adding more complex integrations.
Challenges We Faced
One of our biggest challenges is balancing intelligent automation with reliability. An AI-generated plan may sound reasonable while exceeding the user's available time or overlooking a deadline.
We address this by separating AI-generated suggestions from the rules that validate and schedule tasks.
Another challenge is scope. With limited hackathon time and a solo-development workflow supported by AI coding tools, we need to prioritize features that directly improve the user's experience rather than adding unnecessary complexity.
Accessibility is also central to the challenge. A productivity tool should be easy to navigate, understand, and use, including for people who struggle with overwhelming interfaces. This requires thoughtful choices around navigation, readable layouts, keyboard interaction, and clear feedback.
What We Learned
TaskPilot reinforces an important lesson: useful AI is not just about generating answers; it is about helping people take the next step.
We are learning how to combine AI-assisted task planning with deterministic algorithms, structured data validation, persistent storage, and accessible interface design.
We are also learning to build incrementally, test real workflows, handle failures gracefully, and distinguish a promising concept from a reliable working product.
What's Next
Our immediate goal is to deliver a reliable end-to-end experience where a student can create tasks, generate a daily plan, mark tasks as completed or missed, recover from interruptions, and retain progress between sessions.
Future improvements could include personalized study routines, optional reminders, more advanced AI recommendations, and integrations with calendars and other productivity tools.
Our Vision
We believe getting organized should feel empowering, not overwhelming.
TaskPilot helps turn a long list of responsibilities into one clear next step — so students can spend less time worrying about their work and more time making progress.
