Smart Warehouse Inventory Management System (S.WI.M.S.)

Inspiration

At Ma’aden Aluminium Company in Saudi Arabia, the challenges of inefficient spare parts inventory management have been significant, including:

• Frequent shortages of critical spare parts, delaying preventive and corrective maintenance (PM/CM).

• A flawed Min-Max inventory system, where stock availability is detected, but automatic reordering does not occur, resulting in supply gaps.

• Procurement inefficiencies, leading to delays in sourcing parts both locally and internationally.

• High reliance on human labor for warehouse operations, causing inefficiencies in stock tracking, retrieval, and management.

Without a web-based intelligent warehouse and procurement system, critical spare parts remain unavailable when needed, directly impacting production, maintenance schedules, and operational efficiency.

SWIMS (Smart Warehouse Inventory Management System) is our solution, designed to eliminate these inefficiencies by providing a responsive, intelligent web platform for automated procurement, real-time inventory tracking, and seamless warehouse operations.

What It Does

SWIMS is a web-based smart inventory management system that ensures:

  1. Automated Inventory & Procurement

• Monitors real-time inventory levels through a dynamic web interface.

• Triggers automated reordering when inventory reaches the minimum threshold.

• Integrates supplier evaluation algorithms (max. three suppliers) to determine the best option based on:

o Stock availability

o Pricing optimization

o Estimated Time of Arrival (ETA)

  1. Web-Based Robotic Integration

• Connects with autonomous forklifts and robots via APIs to manage stock placement and retrieval.

• Provides a visual warehouse map for tracking robotic activities in real time.

• Ensures accurate and efficient logistics using AI-driven navigation algorithms.

  1. Real-Time Data & Analytics

• Presents real-time inventory updates through WebSockets and REST APIs.

• Offers predictive analytics dashboards to optimize procurement and supply chain decisions.

• Leverages AI-powered forecasting to prevent stock shortages. How We Built It

  1. Frontend (HTML + CSS + JavaScript)

o Built a responsive web interface using HTML5 for structure and CSS3 for design.

o Developed interactive features with JavaScript.

  1. Backend (Node.js)

o Created a scalable backend using Node.js for handling core functionalities, including automated procurement and inventory tracking.

o Used REST APIs to connect the frontend to the backend seamlessly.

  1. Database (PostgreSQL)

o Designed and implemented a robust relational database for managing inventory, procurement records, and supplier data.

  1. AI & Robotics (Python + TensorFlow + OpenCV)

o Incorporated computer vision and AI-based navigation for autonomous forklifts.

o Used API integration to enable communication between robots and the web app.

  1. Real-Time Features (WebSockets)

o Enabled real-time inventory tracking and updates using WebSocket technology.

  1. Hosting & Cloud Deployment (AWS)

o Deployed the web app on AWS EC2 instances for scalability.

o Implemented AWS S3 for file storage and AWS RDS for database hosting.

o Set up CI/CD pipelines with GitHub Actions for seamless deployments.

Challenges We Encountered

• Responsive Web Design: Ensuring the interface is user-friendly across all devices.

• Supplier Integration: Optimizing algorithms for dynamic supplier evaluation.

• Real-Time Updates: Fine-tuning WebSockets for instant inventory changes.

• Robot-Web Communication: Building robust APIs for seamless integration between web systems and robotics.

Accomplishments We’re Proud Of

• Developed a fully responsive, real-time web app for inventory management.

• Enabled automated spare parts procurement with AI-driven decision-making.

• Integrated autonomous robotics seamlessly with the web-based platform.

• Ensured scalable cloud deployment with high availability and performance.

What We Learned

• Web-based platforms enhance accessibility and operational efficiency.

• AI and robotics integration through APIs accelerates warehouse automation.

• Predictive analytics and forecasting tools are invaluable for preventing shortages.

The Future of SWIMS

• AI-Powered Supply Chain Optimization: Enhance algorithms for supplier and logistics routing.

• IoT-Enabled Shelving: Introduce RFID-based automation for stock placement and retrieval.

• Enhanced Security: Implement blockchain technology for secure procurement transactions.

• ERP Integration: Connect with enterprise resource planning systems like SAP and Microsoft Dynamics.
