Inspiration

Running an appointment-based business often means juggling multiple disconnected tools one for bookings, another for marketing, another for payments, and another for customer engagement. Small business owners rarely have the time or resources to analyse their data and turn it into meaningful business decisions.

We wanted to build something different.

Instead of creating another booking platform, we asked ourselves:

"What if every appointment-based business had an AI Growth Operator working alongside them?"

That idea became SureBook an AI-powered operating platform that combines booking management with GPT-5.6 to help business owners understand what's happening in their business and what they should do next.

The centrepiece of the platform is the SureBook Growth Operator.

Rather than acting like a generic chatbot, the assistant analyses verified business data including bookings, services, reviews and customer activity before producing practical recommendations.

How we built it

SureBook was built using a modern full-stack architecture:

  • OpenAI GPT-5.6 using the Responses API -OpenAI Codex

The AI assistant gathers verified operational data directly from the application's database before constructing structured prompts for GPT-5.6.

The assistant is instructed to:

  • Use verified business information
  • Clearly separate observations from recommendations
  • Avoid inventing business facts
  • Produce actionable advice instead of generic marketing content

Artificial Intelligence

This allows the AI to generate recommendations that are grounded in the business's actual performance.

Rather than sending raw prompts, SureBook constructs structured business context from verified operational data before generating recommendations.

The AI is instructed to:

analyse factual business information distinguish observations from recommendations avoid inventing business facts provide measurable actions explain why recommendations are being made

This significantly reduces hallucinations while producing recommendations that business owners can immediately act upon.

During development we also leveraged ChatGPT 5.6 and Codex extensively to accelerate engineering. They assisted with architecture exploration, implementation, debugging, refactoring, testing, migration safety reviews, and developer productivity, while all design decisions, feature direction, validation, and final integration remained under our control.

Challenges we ran into

Building an AI-powered business platform introduced several engineering challenges. One of the largest was integrating the latest OpenAI Responses API while ensuring the assistant consistently generated useful, reliable business recommendations.

We solved challenges involving:

  • reasoning model orchestration
  • structured prompt generation
  • response parsing
  • partial and incomplete outputs
  • configurable AI model selection
  • server-side AI workflows

On the infrastructure side we also resolved complex database migration issues involving PostGIS geospatial support while protecting production data and ensuring future schema migrations remain safe.

Designing an AI assistant that business owners could genuinely trust required careful prompt engineering, validation, and defensive architecture to minimise hallucinations and keep recommendations grounded in real business metrics.

What we learned
