Inspiration
Education consultants often work with messy, fragmented information: meeting notes, parent expectations, student profiles, school lists, test scores, activity plans, and follow-up tasks. A lot of their time is spent not on strategic advising, but on reorganizing information, writing summaries, checking gaps, and preparing materials for parents.
We wanted to build a small but realistic AI workflow that helps consultants turn early consultation materials into structured, reviewable outputs — while keeping the consultant as the final decision-maker.
## What it does
Study Abroad Application Agent is a prototype workflow for education consultants. It helps process first-consultation materials and service records into structured outputs.
The prototype can:
- Extract student profiles, parent concerns, missing information, and next steps from messy consultation notes.
- Generate a parent-facing first consultation report draft.
- Create follow-up tasks for consultants.
- Organize candidate school recommendations into a review table.
- Keep AI outputs human-reviewable instead of sending them directly to families.
- Separate early consultation diagnosis from later-stage formal school matching.
The key idea is not to replace consultants, but to reduce repetitive operational work and make expert review easier.
## How we built it
We designed the workflow around a human-in-the-loop process.
The prototype includes:
- A structured data model for students, consultation notes, school databases, reports, tasks, and review results.
- A local script-based workflow that processes consultation text and outputs structured JSON.
- A document generation pipeline that creates a parent-facing Word report from structured student data.
- A school recommendation review table where each school can be reviewed, kept, removed, or marked as needing more information.
- A white-box workflow diagram showing how information moves from consultation intake to reports, student records, service boards, and later school matching.
The system is intentionally modular: AI handles extraction and drafting, while consultants handle review, judgment, and final communication.
## Challenges we ran into
One major challenge was defining the correct workflow boundary. At first, it was tempting to make the AI generate school lists immediately after the first consultation. But through workflow analysis, we realized that formal school matching usually happens much later, after the student’s academic profile, activities, goals, and application timeline become more mature.
Another challenge was separating automation from responsibility. Some outputs, such as parent reports or school recommendations, should never be sent automatically without consultant review.
We also had to think carefully about data organization. A single student may have years of meetings, test updates, activities, tasks, and application decisions. A simple table row is not enough for the full service lifecycle, so we separated high-level student records from detailed student boards.
## Accomplishments that we're proud of
We are proud that the prototype is not just a chatbot demo. It models a real consulting workflow with clear stages:
- First consultation intake
- Parent-facing report generation
- Consultant review
- Lead-to-student conversion
- Student service board management
- Later-stage school matching
We also built the system around explainability. The white-box workflow makes it clear where AI is used, where human review is required, and which parts are outside the current prototype scope.
## What we learned
We learned that AI workflow design is less about making the model “smarter” and more about placing automation at the right points in the process.
For education consulting, the most useful AI agent is not one that instantly gives final answers. It is one that helps consultants organize information, identify gaps, prepare drafts, and preserve decision records.
We also learned that human review is not a limitation — it is a core part of the product design.
## What's next for Study Abroad Application Agent for Education Consultants
Next, we want to improve the prototype in three directions:
- Build a cleaner student service board where every signed student has their own structured workspace.
- Add better review loops so consultant feedback can improve future AI outputs.
- Connect task reminders and calendar workflows so consultants can track deadlines, meetings, and follow-ups more easily.
In the long term, this could become an AI-assisted operating system for study abroad consultants: not replacing expert judgment, but making the entire advisory workflow more structured, auditable, and scalable.
