Inspiration

As someone who’s organized dozens of startup weekends across the US, I grew frustrated with juggling spreadsheets, Slack threads, and disjointed tools to manage 48-hour challenges. The chaos of matching mentors to teams, tracking participant sign-ups, and aggregating judge scores wasted precious time—time better spent fostering innovation. I wanted to build a tool that centralizes every task, so organizers could focus on what matters: empowering entrepreneurs.

What it does

Startup Weekend Organizer is a web-based hub for managing end-to-end 48-hour startup challenges. It handles participant management, drag-and-drop team formation, skill-aligned mentor matching, customizable timelines with countdowns, and real-time judge scoring/ranking—all without the need for complex setup or login.

How we built it

I started by mapping core organizer pain points (e.g., duplicate team assignments, mentor over-allocation) to functional requirements. Using React for the frontend, I built modular components (dashboard, event detail pages, scoring interface) and integrated React-DnD for smooth team assignment. For real-time data sync, I used Firebase, and Chart.js to visualize scoring trends. The backend (Node.js/Express) connected to MongoDB to store event data, with validation logic to prevent edge cases like invalid date selection or incomplete scorecards.

Challenges we ran into

The biggest hurdle was building the automated mentor matching logic—balancing skill alignment with mentor availability to avoid over-allocation. I also struggled with making the drag-and-drop team assignment responsive and error-proof (e.g., preventing duplicate participant assignments). Testing the real-time scoring aggregation took iterations to ensure rankings updated instantly and accurately.

Accomplishments that we're proud of

Creating an intuitive interface that eliminates administrative busywork for organizers—drag-and-drop team formation works seamlessly, and one-click mentor matching cuts hours of manual work. The real-time scoring system delivers instant rankings, and the customizable timeline keeps events on track without manual reminders. Most importantly, the tool works entirely without login, letting organizers test every feature instantly.

What we learned

I deepened my understanding of real-time data sync and frontend validation logic, and learned to prioritize user experience for non-technical organizers (e.g., clear visual feedback for every action). I also realized how critical edge case handling is—like blocking past event dates or incomplete scorecards—to prevent frustration.

What's next for This project

First, I want to add email reminders for event phases (ideation, pitching, judging) to keep teams on track. Next, integrate with external calendar tools (Google Calendar, Outlook) to sync event timelines. I also plan to build a mobile-responsive version, as many organizers manage events on the go. Long-term, I’ll add advanced analytics to track participant engagement and event success metrics, and explore multi-organizer collaboration features.
