🥄 SpoonFlow — The Chronic Illness, Neurodivergent & Burnout-Aware Energy Budgeting OS

"Work should fit people — not force people to fit the tool."
Taskforge Hackathon 2026 Submission

💡 Inspiration & The Core Barrier

Traditional productivity software (Jira, Notion, Todoist, Google Calendar) is architected around an unspoken, toxic premise: that human beings possess uniform, limitless 9-to-5 stamina. When life intervenes—whether through chronic illness flares, autistic burnout, ADHD executive dysfunction, or acute mental fatigue—these tools turn against the user. Inboxes fill with overdue items, deadlines flash aggressive red badges, and algorithms demand that users "push through."

The result is a destructive boom-and-bust cycle: overexertion leads to physical crashes, followed by shame spirals and complete task abandonment.

In disability and chronic illness communities, biological energy is understood through Christine Miserandino's Spoon Theory. Energy is not infinite; it exists as a finite daily handful of "spoons." Some mornings, a student or developer wakes up with 10 spoons; on other mornings, Long COVID, ME/CFS, or burnout leaves them with only 3.

We asked ourselves a simple question:
What if our productivity tools protected our nervous systems instead of driving us to exhaustion?

We built SpoonFlow to replace the arbitrary tyranny of the clock with biological pacing, non-punitive triage, and gentle workplace boundaries.

📐 Mathematical Formulation of Spoon Theory

Traditional task managers treat capacity as a linear accumulation of hours:

$$\text{Capacity}_{\text{traditional}} = \text{Hours} \times \text{Velocity}$$

SpoonFlow replaces this with a biological energy budgeting model that accounts for fluctuating capacity, drain variance, and restorative pacing.

1. Effective Biological Capacity

A user's effective daily energy capacity $S_{\text{effective}}$ is defined by their morning baseline calibration $S_{\text{daily}} \in [1, 12]$ augmented by completed restorative interventions $R_k$:

$$S_{\text{effective}} = S_{\text{daily}} + \sum_{k=1}^{m} R_k$$

Where $R_k \in {+1, +2}$ represents physiological spoons regained through screen-free recovery, hydration, or horizontal rest.

2. Weighted Neurological Drain

Unlike standard todo apps where every checkbox is equal, SpoonFlow weights task cost by neurological category drain factor $w_j$:

$$D_{\text{total}} = \sum_{j=1}^{n} c_j \cdot w_j$$

Where:

  • $c_j \in [1, 5]$ is the intrinsic Spoon Cost.
  • $w_{\text{cognitive}} = 1.25$ (deep mental focus, code debugging, analytical writing).
  • $w_{\text{social}} = 1.30$ (synchronous meetings, conflict resolution, performance reviews).
  • $w_{\text{micro}} = 0.80$ (2-minute administrative tasks).

3. Overcapacity Deficit & Auto-Triage Condition

When planned demand exceeds biological reserve:

$$\Delta S = D_{\text{total}} - S_{\text{effective}} > 0$$

The Over-Capacity Shield triggers the Rest & Rebalance Protocol, identifying the subset of non-essential flexible tasks $\mathcal{T}_{\text{flexible}}$ to defer:

$$\sum_{t \in \mathcal{T}_{\text{deferred}}} c_t \ge \Delta S$$

By deferring $\mathcal{T}{\text{deferred}}$, the system guarantees that total active load $D{\text{active}} \le S_{\text{effective}}$, preventing post-exertional malaise (PEM) and preserving autonomic nervous system stability.

⚙️ What It Does

  1. 🌅 Morning Spoon Calibration:

    • Users begin each day with an honest capacity check (1 to 12 spoons).
    • Dynamically shifts operating modes between Survival Mode (1–3 Spoons), Moderate Capacity (4–7 Spoons), and High Stamina (8–12 Spoons), adapting interface density and expectations accordingly.
  2. 🧠 Cognitive Drain Task Engine:

    • Categorizes tasks by neurological toll: Mental Focus, Social Drain, Low-Stamina Micro-Actions, and Restorative Recovery.
    • Restorative tasks (naps, quiet walks, stretching) actively award +1 Spoon back into the visual reservoir when checked off.
  3. 🛡️ Over-Capacity Shield & 1-Click Auto-Triage:

    • Detects when planned commitments exceed daily reserves.
    • Replaces shame with celebration: with 1 click, flexible tasks are deferred to tomorrow labeled with a warm "Deferred with Grace" badge.
    • Positively reinforces self-compassion by tracking "Spoons Preserved by Saying No".
  4. 💬 Gentle Boundary & Communication Generator:

    • Eliminates the emotional paralysis of declining tasks or rescheduling meetings.
    • Instantly generates polite, confident messages for Managers, Clients, Teammates, and Professors across Professional & Warm, Concise & Direct, and Casual & Friendly tones.
  5. 🎯 Single-Task "Zero-Spill" Focus Rail:

    • Hides the entire dashboard to eliminate sensory and cognitive overload.
    • Embeds an interactive 4-4-4-4 Box Breathing visual pacer and low-pressure momentum timer.
    • Features an Anti-Paralysis Micro-Step Helper for moments of executive dysfunction freeze.
  6. ⚡ 1-Click Judge Demo Personas:

    • Maya (Long COVID - 3 Spoons): Demonstrates Survival Mode, the Over-Capacity Shield, and 1-click deferral.
    • Alex (ADHD Burnout - 6 Spoons): Demonstrates the Single-Task Focus Rail, micro-steps, and cognitive drain tagging.
    • Jordan (Chronic Fatigue - 8 Spoons): Demonstrates sustainable pacing and restorative activity tracking.

🛠️ How We Built It

  • Zero-Dependency Architecture: Built using semantic HTML5 landmarks, modern Vanilla CSS custom properties, and modular ES6 JavaScript. No bloated frameworks or fragile node_modules—the app runs at 60 FPS natively in any browser with instant offline-first localStorage synchronization.
  • Synthesized Web Audio API: To avoid triggering sensory sensitivities, we built a custom synthesizer using Web Audio API oscillator nodes. It produces organic, soothing pentatonic marimba chimes ($E\flat_5, G_5, B\flat_5$) and water-bubble feedback with zero external audio assets.
  • WCAG AAA Accessibility Suite:
    • OpenDyslexic typography toggle with increased letter and word spacing.
    • 7:1 High-Contrast Mode exceeding strict WCAG AAA guidelines.
    • Reduced Motion mode eliminating all non-essential keyframe animations.
    • Text Scaler (100% $\to$ 115% $\to$ 130%).
    • Full Keyboard Navigation: Skip-to-content links, visible focus indicators, and hotkeys (Alt+N for new tasks, Alt+S for check-in, Alt+B for boundaries, Esc to close).

🧗 Challenges We Faced

  1. Unlearning Punitive UX Patterns: Most productivity interfaces rely on manufactured urgency—red countdown badges, streaks, and warning sounds. Designing an interface that motivates without inducing anxiety required rethinking every interaction. We replaced harsh red alerts with warm amber protection shields, and turned task deferral into a physiological victory.
  2. Sensory Sound Design: Loud notification buzzers can trigger sensory overload in neurodivergent or migraine-prone individuals. We spent hours tuning the ADSR (Attack, Decay, Sustain, Release) envelope curves of our Web Audio oscillators to produce frequencies that feel grounding and calming.
  3. Designing for Cognitive Fog: When experiencing brain fog, navigating multi-level menus is impossible. We streamlined every workflow so that the most critical actions (Morning check-in, 1-click deferral, boundary copying) can be completed in a single click or keystroke.

🏆 Accomplishments We're Proud Of

  • Validating Disability Wisdom in Tech: Transforming Christine Miserandino's Spoon Theory into functional, mathematical software that honors human limits.
  • Zero Guilt, Maximum Relief: Building a tool where users genuinely feel their shoulders drop and stress decrease when the Over-Capacity Shield activates.
  • 100% Turnkey Deployment: Zero setup required for hackathon judges—the working prototype is live on GitHub Pages, backed by automated test suites and a self-contained local dev server.

📚 What We Learned

We learned that accessibility is not just about screen readers and color contrast—it is about cognitive and biological accessibility.

When you design for someone with Long COVID, ME/CFS, or ADHD, you do not create a compromised product; you create software that is fundamentally cleaner, kinder, and more humane for everyone. Pacing, boundary-setting, and realistic capacity planning are universal human needs that the modern workplace desperately requires.

🚀 What's Next for SpoonFlow

  • Biometric Wearable Sync: Integrate with Apple Health, WHOOP, and Oura Ring to automatically suggest morning spoon capacity based on nocturnal HRV (Heart Rate Variability), resting heart rate, and sleep staging.
  • Calendar Capacity Heatmap: Two-way sync with Google Calendar and Outlook that calculates meeting drain before commitments are made.
  • Team Spoon Transparency: An opt-in team view that communicates aggregate team energy to managers without disclosing private medical diagnoses, fostering a culture of psychological safety.
