Inspiration

We’ve all been in that meeting, the one that goes on for over an hour, derailed by a minor topic, and ends without a clear decision. The loudest voices dominate the conversation while great ideas from quieter people get drowned out.

Many of us manage clubs or are in PM sort of roles. We've noticed inefficiencies for the way we run meetings, organizing standups, etc., and wanted to devise a solution to those points of friction.

Meetings are central to collaboration, but they are often inefficient, biased, and waste everyone's time on what could sometimes have just been an email. The problem is not the meeting itself, but the lack of preparation.

That is why we built Smoothie, an AI-powered meeting preparation and organization platform that blends raw, unstructured ideas from all members of a team into a focused, prioritized, and unbiased agenda, and filters unnecessary information into an email, ensuring that every meeting is efficient and clear.

User Flow

Anyone can login through Google and create a meeting: they will define a set of tasks and attendees. Then, attendees can log in and respond to their tasks. The information each attendee provides is submitted to an AI workflow: responses are standardized, then information is filtered for relevancy, and finally, a meeting agenda is created and emailed to all the attendees.

Using Smoothie for your meetings will ensure that every subsection (say: your legal team, sales team, etc.) will get only the information relevant to them; no longer will everyone have to sit through a half hour of updates from teams not relevant to them. The final meeting agenda only includes tasks for your standup that everyone needs to discuss, and specific information is emailed to specific people.

How we built it

Smoothie was built on Next.js with a PostgreSQL database hosted on Supabase. The AI backend uses fetch.ai and Gemini models to process information.

How it Works:

Let me show you how it works. A manager sets up a meeting in Smoothie and asks a few key questions. Team members then submit their responses, which can be informal, messy, or just a string of thoughts.

This is where the magic begins, when the deadline hits, these raw ingredients are sent to our agentic AI pipeline. First, our Standardizer Agent refactors every response into a neutral and professional format. This removes stylistic bias, so a hesitant junior member’s idea is given the same weight as a confident statement from a senior lead. Next, our Filterizer Agent reads every standardized response and filters out discussion-worthy topics from FYI updates that could have just been an email. These smaller, simpler updates are then sent to our AgentMail agent, which compiles all of these topics into a concise and professional email that is sent out to all the attendees before the meeting, allowing them to decide whether they would like to bring it up again in the meeting. Finally, our Agendizer Agent takes this structured data and generates a to-the-point, human-readable Markdown agenda, with each topic tagged by who wanted to discuss it, allowing… keeping the meeting on track.

Conclusion

Smoothie is more than just a tool; it's a new way to collaborate, ensuring that every voice is heard and every minute is valued. We're not just making meetings better; we're giving teams back their most valuable asset: their time.
