Inspiration

I'm a 46 year old, full-time branch manager in the building supplies industry and I also manage a growing property portfolio.

Every month I found myself switching between handwritten notes, diaries, spreadsheets, bank statements, accounting software, compliance records and property documents just to understand what was happening across my properties. I recently started helping my parents manage their own portfolio. Combining two portfolios, alongside missed compliance deadlines and rent tracking, made me realise I needed a better way to run the business.

I couldn't find software that matched the way independent landlords actually work, so I decided to build it. It started as a simple way to track rent and compliance, but quickly evolved into a complete operating system that is becoming the centre of my entire property business.

Despite having no software development background, I used AI to turn years of operational experience into working software.

What it does

SmartFolio is the operating system for modern landlords.

It brings together property management, rent operations, lease management, compliance and tax-ready financial workflows into one intelligent platform.

Instead of jumping between multiple systems, landlords can manage their portfolio from one place while keeping complete control over every financial decision.

How I built it

I designed the workflows based on my own experience as a landlord and then worked with AI throughout the development process. I would describe what i wanted the system to do and how it needed to process information. My role became bridging the gap between what AI naturally wanted to build and what landlords actually need, based on how they really work day to day.

AI helped me write code, build the desktop application, refine the user interface and rapidly iterate on ideas, while I focused on the operational design and making sure the software reflected real landlord workflows.

Challenges

The biggest challenge wasn't writing code.

It was designing software that genuinely solved real operational problems rather than simply demonstrating technology.

Learning how to guide AI effectively while making thousands of product decisions was a completely new experience.

One of the biggest challenges was recognising when the software was heading in the wrong direction and steering it back towards the long-term vision while still making progress.

The system has so many facets (and many more to come) that trying to stay focussed on ONE path was a challenge.

Accomplishments

I'm most proud that SmartFolio is solving problems I personally face every month.

What started as an internal project has evolved into a branded desktop application with real workflows, real data and a clear product vision.

The smart system for categorising incoming transactions is a game changer for me. It will cut out hours of work every month. The fact this can be adapted as incoming transactions change means its simple to stay on top of.

What I learned

I learned that AI can dramatically reduce the barrier to creating software, but domain knowledge and product design remain essential.

The most valuable part of the project wasn't asking AI to build an app—it was translating real-world operational experience into software.

What's next

SmartFolio will continue to evolve into a complete operating system for independent landlords, with deeper AI-assisted workflows, enhanced reporting, Making Tax Digital support and optional customer branding for property businesses.
