Smart Visitor Management System — Project Story
Inspiration
The idea for the Smart Visitor Management System came from observing how visitor entries are often handled using manual registers. This process can be slow, difficult to track, and prone to data-entry errors. We wanted to build a system that could make visitor management faster, more secure, and easier to monitor.
Our goal was to create a digital solution that could help security staff, administrators, employees, and visitors manage the complete visitor journey from registration to check-out.
What it does
The Smart Visitor Management System provides a centralized platform for managing visitors digitally.
Key features include:
- Digital visitor registration
- QR code and barcode scanning
- Automatic form filling using scanned information
- Visitor purpose and type management
- Employee/host selection with autocomplete
- Email verification
- Meeting management
- Security check-in and check-out
- Admin dashboard and visitor reports
- Visitor history and record management
- Pagination and filtering for large datasets

The system reduces manual work while providing administrators with better visibility into visitor activity.
How we built it
We built the system using a full-stack architecture.
The frontend was developed using React.js, along with React Router, Bootstrap, custom CSS, React Context API, and Recharts for dashboard visualizations.
For the backend, we used ASP.NET Core Web API with C# to create REST APIs and handle business logic, authentication, validation, and communication with the database.
We also integrated QR and barcode scanning technologies to make visitor registration faster. Email services were implemented for verification and communication.
The overall flow is:
Visitor → React Frontend → ASP.NET Core Web API → Database → Admin/Security Dashboard
This architecture helped us maintain a clear separation between the user interface, business logic, and data layer.
Challenges we ran into
One of our biggest challenges was integrating QR and barcode scanning with the registration process. We had to handle camera permissions, scanner states, invalid scans, and automatically transfer scanned information into the registration form.
We also faced challenges while connecting the React frontend with the ASP.NET Core backend and ensuring that data was correctly validated, stored, and retrieved.
Other challenges included implementing:

- Dynamic purpose management
- Employee autocomplete
- Meeting-date filtering
- Pagination
- Role-based access
- Form validation
- Error handling
- Real-time scanner state management
Solving these problems taught us how to debug and improve a real-world application rather than simply building a prototype.

In the future, we envision the Smart Visitor Management System becoming a complete AI-powered security and visitor experience platform that helps organizations manage visitors efficiently while improving safety and operational transparency.
