Inspiration

The inspiration comes straight from the trenches of everyday caregiving. When a state agency suddenly cuts essential home health benefits or daily living assistance, they send a confusing letter filled with policy codes. For an already exhausted family member, trying to figure out how to write a formal legal response feels like staring at a brick wall. As a solopreneur, I wanted to build something that bridges the gap between rigid government bureaucracy and real people, making sure nobody loses their care just because they do not know how to speak bureaucrat.

What it does

It is a simple tool that levels the playing field for families. A user uploads a photo or document of their official denial or service reduction letter into the interface and types out what is actually happening in plain English. The tool instantly reads the agency rules, pulls out the deadlines, and translates the user's everyday story into a professional, structured appeal letter that meets the state criteria perfectly and is ready to print.

How we built it

As a solopreneur focusing on speed and simplicity, I built the entire workflow by bridging the Google Ecosystem with OpenAI. I set up a simple interface where users can easily drop in their documents and notes. Behind the scenes, the document is processed using OpenAI's vision capabilities to read and extract the text from standard agency templates, while the structured output generation turns the raw conversational feedback into a formal, objective appeal letter.

Challenges we ran into

The biggest hurdle was dealing with the unpredictable layout of government letters. Bureaucratic paperwork is notoriously messy, filled with random tables, tiny text, and confusing legal citations. Getting the system to accurately parse out the specific rules and appeal deadlines from scanned documents without missing critical details took a lot of trial and error and fine-tuning.

Accomplishments that we're proud of

I am incredibly proud of creating something that has immediate, real-world utility for families under stress. As a solo builder, managing to take a highly complex, intimidating legal process and condense it into a straightforward, two-step action that takes less than five minutes is a massive win. It shifts the power back to the people who need it most.

What we learned

I learned that you do not need a massive, over-engineered application to solve a deeply painful problem. Keeping the technology out of the way and focusing strictly on a clean, simple workflow makes the tool much more accessible for people who are already overwhelmed. I also learned how powerful combining flexible cloud storage tools with advanced text extraction can be when handling rigid government language.

What's next for Smart Appeal Generator

Next, I want to expand the tool to generate localized step-by-step checklists for the actual redetermination meetings. I plan to add automated calendar reminders for critical submission deadlines and build out a library of state-specific templates so that caregivers nationwide can easily fight unfair service cuts and win back their support.
