SlotSathi Recover — Turn Cancellations into New Opportunities
💡 Inspiration
For independent tutors, every appointment represents valuable teaching time. When a student cancels at the last minute, that time slot can go unused, resulting in lost earning opportunities. At the same time, other students may be waiting for an available session that fits their schedule.
Managing this manually can be frustrating. Tutors may need to check their calendars, search through waitlists, contact students individually, and coordinate replacement bookings through messages. This process takes time, and there is no guarantee that the cancelled slot will be filled.
We built SlotSathi Recover to address this everyday problem. Our idea is simple: instead of treating a cancellation as the end of a booking, treat it as an opportunity to connect another eligible student with the newly available time slot.
🎯 What is SlotSathi Recover?
SlotSathi Recover is an appointment recovery platform designed for independent tutors and small tutoring businesses. It brings together public appointment booking, secure cancellation links, explainable waitlist matching, tutor-controlled WhatsApp offers, and a recovery dashboard in one workflow.
The platform helps tutors manage cancellations more systematically while keeping them in control of the recovery process. Students can book sessions without creating an account, cancel when necessary using a secure link, and accept a suitable replacement offer through a dedicated offer page.
Rather than promising that every cancelled appointment will be recovered, SlotSathi Recover helps tutors identify suitable replacement opportunities and manage them through a structured process.
🚀 The Problem We Solve
Traditional appointment management often focuses on creating and tracking bookings. Handling cancellations and finding replacements can require a separate, manual effort.
The main challenges are:
- Unused time slots: A cancellation may leave a tutor with an appointment slot that could otherwise have been used.
- Manual coordination: Tutors may have to contact multiple students to find someone available.
- Unclear prioritization: It can be difficult to decide which waitlisted student is the best fit for a particular opening.
- Scheduling conflicts: A replacement booking must not overlap with an existing appointment.
- Limited visibility: Tutors need a clear way to monitor cancellations, recovery opportunities, and completed replacement bookings.
SlotSathi Recover focuses on making this process more organized, understandable, and reliable.
🛠️ Our Solution: How It Works
1. Public Appointment Booking
Students can view available appointment slots and book a session through a public booking page without needing to register for an account.
The booking flow checks availability and prevents overlapping appointments. This provides a simple entry point for students while helping tutors maintain an organized schedule.
2. Secure Cancellation Links
When a booking needs to be cancelled, the student can use a secure cancellation link associated with the appointment.
The system validates the cancellation request and updates the appointment status. The original booking record is preserved, maintaining a useful history of what happened to the appointment.
The cancelled slot can then become a recovery opportunity for another eligible student.
3. Explainable Waitlist Matching
This is one of the core features of SlotSathi Recover.
Instead of asking tutors to manually review every waitlisted student, the platform evaluates eligible candidates using a matching score. The matching logic considers factors such as:
- Service or subject match
- Required session duration
- Preferred time
- Day availability
- Waiting time
- Urgency
The score helps prioritize candidates whose requirements and availability fit the cancelled slot. The matching process is designed to be explainable, so tutors can understand the factors behind a recommendation instead of receiving an unexplained result.
Matching supports the tutor's decision-making; it does not guarantee that a student will accept the offer.
4. Tutor-Controlled WhatsApp Offers
After identifying a suitable candidate, the tutor can generate a personalized, prefilled WhatsApp message containing the recovery offer.
SlotSathi Recover creates a WhatsApp deep link that opens the message for the tutor to review and send. The tutor remains in control of communication.
This approach avoids requiring a paid WhatsApp Business API integration for the current workflow. Importantly, the platform does not automatically send WhatsApp messages; the tutor must review and send the prepared message through WhatsApp.
5. Secure Offer Acceptance
The invited student can open a secure offer link and accept the replacement appointment if the slot is still available.
The system validates the offer and checks for conflicts before completing the replacement booking. It is designed to prevent duplicate acceptance and overlapping appointments, while preserving the original cancellation record.
The application includes local automated tests for important scenarios such as competing booking attempts, repeated acceptance, expired offers, and invalid requests. Cloud-database enforcement and distributed concurrency behavior still require separate live-environment verification.
6. Tutor Dashboard and Recovery Visibility
The tutor dashboard brings important appointment and recovery information into one place. It provides visibility into bookings, cancelled slots, waitlisted students, recovery opportunities, and recovery-related metrics.
Instead of managing the entire process across separate conversations and manual lists, tutors can use the dashboard to understand their current schedule and follow recovery activity.
Any displayed recovery percentages or revenue figures should be interpreted according to the data available in the running environment. Such metrics are useful for tracking activity, but they should not be treated as proof of real-world business impact without actual usage data.
🧠 What Makes SlotSathi Recover Different?
SlotSathi Recover is designed around the complete cancellation-recovery workflow rather than booking alone.
- Recovery-focused: Connects cancelled appointments with potential replacement bookings.
- Explainable matching: Uses identifiable scheduling and waitlist factors to prioritize eligible students.
- Tutor in control: Lets tutors review and send WhatsApp offers themselves.
- Student-friendly: Supports public booking and secure, link-based actions without requiring a student account for the public booking flow.
- Reliability-aware: Includes validation and conflict checks to help prevent duplicate or overlapping appointments.
- Practical implementation: Uses a lightweight communication workflow rather than depending on a paid WhatsApp messaging integration.
The goal is not to eliminate every cancellation. It is to make the next step after a cancellation easier to manage.
🏗️ How We Built It
We developed SlotSathi Recover as a web application using a modern TypeScript-based stack.
Core technologies
- Next.js App Router: Application routing and web experience.
- TypeScript: Typed application logic and clearer data contracts.
- Tailwind CSS: Responsive styling and interface consistency.
- Supabase / PostgreSQL: Database architecture for appointment, waitlist, and recovery workflows.
- Playwright: Automated end-to-end testing of important user journeys and failure scenarios.
The application is organized around distinct flows for booking, cancellation, candidate matching, recovery offers, acceptance, and tutor-facing dashboard information.
We also prepared a PostgreSQL schema intended to support database-level protection against overlapping appointments and atomic recovery-offer acceptance. These cloud-database safeguards need to be validated against a live Supabase environment before being described as production-verified.
For the local development environment, an in-process mutex is used to coordinate certain concurrent operations. This helps with local testing but is not a substitute for distributed locking or database-enforced guarantees across multiple application instances.
🔐 Reliability and Responsible Design
Appointment recovery must be more than a convenient interface. It must also respect the integrity of the schedule and the privacy of booking information.
We designed the application with several safeguards in mind:
- Validate booking and offer inputs before processing requests.
- Check appointment conflicts before accepting a booking.
- Keep cancellation history rather than silently replacing the original appointment.
- Use secure links for cancellation and recovery-offer actions.
- Avoid exposing unnecessary personal information in public offer responses.
- Test negative cases, expired offers, duplicate acceptance, and conflicting requests.
- Keep the tutor responsible for reviewing and sending WhatsApp messages.
The project includes local automated checks for these scenarios. Production readiness would additionally require live database testing, deployment-level security validation, and a distributed rate-limiting strategy.
⚙️ Challenges We Faced
Matching suitable students
A cancelled slot is useful only if the replacement student can attend at the required time and duration. We addressed this by using multiple scheduling and waitlist factors in a structured matching process, rather than selecting a candidate arbitrarily.
Preventing duplicate and conflicting bookings
Two requests can attempt to claim the same slot. We designed validation and acceptance flows to check for conflicts and tested competing operations locally. Database-level and multi-instance guarantees remain important areas for live-environment validation.
Keeping communication simple and affordable
Automated messaging integrations can introduce additional configuration, costs, and operational complexity. We chose a tutor-controlled WhatsApp deep link so the tutor can review and send a prepared message without a paid WhatsApp Business API integration.
Separating local testing from production guarantees
A workflow that passes local tests does not automatically prove that every cloud or distributed scenario is safe. We accounted for this distinction in our implementation and documentation, particularly around database constraints, atomic acceptance, and rate limiting.
📚 What We Learned
Building SlotSathi Recover helped us understand that solving a real-world scheduling problem requires more than building a booking form.
We learned to think about the entire lifecycle of an appointment: creation, cancellation, recovery, communication, acceptance, and record keeping. We also explored explainable matching, secure link-based workflows, validation, concurrent requests, automated end-to-end testing, and the difference between local safeguards and production-grade database guarantees.
Most importantly, we learned to design around the needs of both sides of a workflow. Tutors need control and visibility; students need a straightforward way to book or accept an offer. A useful solution must serve both without adding unnecessary complexity.
🔮 Future Scope
There are several ways SlotSathi Recover could evolve:
- Validate the platform with independent tutors and gather real feedback.
- Deploy and thoroughly test the PostgreSQL constraints and atomic acceptance workflow in a live Supabase environment.
- Add configurable matching weights and clearer explanations for candidate rankings.
- Introduce optional reminders and messaging integrations where appropriate.
- Add richer recovery analytics based on real appointment and acceptance data.
- Strengthen distributed rate limiting and operational monitoring for multi-instance deployment.
- Evaluate the proposed subscription plans with actual users before making business or revenue claims.
Our initial pricing hypothesis includes a free plan and paid plans for individual tutors and small studios. These prices are proposals, not validated market demand or established revenue.
🌟 Our Vision
We believe small tutoring businesses deserve practical tools that help them manage their time without adding more administrative work.
SlotSathi Recover turns a fragmented cancellation process into a structured recovery workflow: make the slot available, identify suitable waitlisted students, prepare an offer, and let the tutor manage the next step.
Our mission is simple: help independent tutors spend less time managing cancellations and more time teaching.
