Inspiration

Traditional school management systems often focus on storing information rather than helping students and teachers make better decisions. We wanted to build a platform that could actively support the learning process instead of simply managing it.

This inspired us to create SchoolSync, an AI-powered school management platform that connects students, teachers, parents, administrators, and counselors while using AI to provide personalized academic assistance and identify students who may need additional support.

What it does

SchoolSync provides a centralized platform for managing the academic lifecycle of a school.

  • Students can access assignments, track their academic progress, and receive personalized AI-generated study plans.
  • Teachers can create assignments, manage classes, evaluate student work, and analyze class performance.
  • Parents can monitor their child's academic progress and engagement.
  • Administrators can manage users, classes, subjects, and school activities.
  • Counselors can use performance insights to identify students who may require additional academic support.
  • AI-powered features help generate personalized study plans, assist with grading, analyze class performance, and detect potentially at-risk students.

The goal is to turn school data into actionable insights rather than simply storing it.

How we built it

We designed SchoolSync as a role-based platform where each user receives functionality according to their responsibilities.

The core workflow connects classroom management, assignments, submissions, grading, attendance, and performance analytics. We then integrated Gemini AI into this workflow to transform academic information into useful recommendations.

For example, when a student needs help preparing for a topic, the system can generate a structured study plan with daily learning tasks. Teachers can also use AI-assisted analysis to understand class performance and identify areas where students are struggling.

We followed a modular architecture so that features such as AI services, academic management, analytics, authentication, and user roles could be developed independently and integrated into the overall platform.

Challenges we ran into

One of our biggest challenges was designing AI features that were actually useful within a school workflow rather than adding AI simply for the sake of using it.

We also faced challenges around role-based authorization and data ownership. Different users should have access to different information, so we had to consider how students, teachers, parents, administrators, and counselors interact with the same underlying data.

Another challenge was maintaining consistency between different parts of the application, particularly for attendance, assignments, grading, and analytics. Integrating AI-generated results into existing academic workflows also required careful validation.

Accomplishments that we're proud of

We are proud of building a complete school management workflow rather than a standalone AI demonstration.

The project brings together:

  • Multiple user roles with different responsibilities
  • Assignment and academic management
  • Student submissions and grading workflows
  • Attendance and performance tracking
  • Personalized AI-generated study plans
  • AI-assisted academic analysis
  • At-risk student identification
  • A foundation for connecting teachers, students, parents, and counselors

Most importantly, SchoolSync demonstrates how AI can be integrated into an existing educational workflow to provide personalized and proactive assistance.

What we learned

Building SchoolSync taught us that developing an AI-powered application involves much more than connecting an application to an AI API.

We learned how important data structure, authorization, validation, and workflow design are when AI is involved. AI output needs to be treated as part of a larger application workflow rather than automatically trusted.

We also learned how different users require different perspectives of the same data. A student's dashboard, a teacher's dashboard, and an administrator's dashboard can all use the same underlying information while serving completely different purposes.

Most importantly, we learned to approach AI as a tool for augmenting human decision-making. Instead of replacing teachers or administrators, SchoolSync is designed to help them understand information faster and provide more personalized support to students.
