About the Project

Our project, National Scholarship Application Verification and Disbursement Tracking Management System, was inspired by the need to make scholarship application processing more transparent, organized, and easier to track. Traditional scholarship workflows can involve multiple levels of verification, document checking, approvals, and payment processing, which can make it difficult for students to know the current status of their applications.

We designed a MERN-stack-based web application with separate portals for Students, Institute Officers, Department Officers, and Administrators. Students can register, find scholarships, submit applications and documents, and track their application status. Institute and Department Officers can verify and process applications through their respective stages, while administrators can monitor the overall system, users, audit activities, and workflow performance.

One of the important features we implemented is the Service Level Process (SLP) mechanism. It monitors the time taken at each verification stage and identifies warning or breached stages. For demonstration purposes, the timing is configured to work within a short period, while the actual concept can be extended to longer real-world processing periods. Importantly, an SLP breach does not automatically approve or reject an application; instead, it provides an escalation mechanism for administrative monitoring.

What We Learned

While developing the project, we gained practical experience in:

Building a complete MERN stack application Designing separate role-based portals Implementing JWT authentication and role-based access control Working with MongoDB and Mongoose Creating REST APIs using Node.js and Express.js Managing document uploads and application workflows Implementing application status tracking Designing an SLP/SLA monitoring mechanism Generating sanction documents and maintaining payment records Implementing audit trails for important system activities Integrating email notifications for successful scholarship sanction Designing responsive interfaces using React.js and Bootstrap How We Built It

We followed a modular architecture with a React frontend for each user role and a centralized Node.js/Express backend connected to MongoDB. The application workflow was designed so that an application moves sequentially from Student → Institute Verification → Department Verification → Sanction → Payment/Disbursement.

Security and accountability were considered throughout the development process. Different users receive access only to the functions permitted by their roles, while important system activities are recorded through audit logs.

We also implemented automated communication for the sanction stage. When a scholarship is successfully sanctioned, the system can send the applicant a professional email containing the sanction details and the generated sanction order.

Challenges We Faced

The major challenge was designing a workflow where applications move through the correct verification hierarchy without skipping stages. We also had to handle document validation, role-based permissions, application status transitions, and time-based SLP monitoring.

Another challenge was ensuring that automated processes did not incorrectly change an application's approval status. We therefore designed the SLP mechanism as a monitoring and escalation system rather than an automatic approval/rejection mechanism.

We also faced challenges while integrating email delivery, generating sanction documents, maintaining audit records, and keeping the four portals synchronized with the same backend data.

Outcome

Through this project, we developed a working concept for a centralized, transparent, and trackable scholarship management system. The project helped us understand not only individual technologies in the MERN stack, but also how authentication, workflows, databases, document processing, notifications, monitoring, and multiple user roles can be combined into a single real-world application.
