SalonAI - WhatsApp Bookings Dashboard

Inspiration

Salon owners spend a lot of time answering repetitive WhatsApp messages, managing appointments, handling customer information, and answering questions about services. We wanted to solve this everyday problem with AI while keeping the experience simple for both salons and their customers.

Our idea was to create a 24/7 AI receptionist that works through WhatsApp, so customers can communicate naturally while salon staff focus on their actual work.

What it does

SalonAI — WhatsApp Bookings Dashboard is an AI-powered salon management platform.

Customers can use WhatsApp to ask about services, get information, and interact with the AI for appointment-related requests.

On the salon side, a centralized dashboard provides:

WhatsApp conversations
AI receptionist activity
Appointment and booking management
Customer management
Analytics and business insights
Salon services and settings
Human takeover for AI conversations

This connects customer communication and salon operations in one place.

How we built it

We built SalonAI as a modern web application using React, TypeScript, and Vite.

For the backend and cloud infrastructure, we used Firebase, Firestore, Firebase Authentication, and Cloud Functions.

We integrated Google Gemini to power the AI receptionist and built the dashboard to manage conversations, bookings, customers, analytics, and salon configuration.

The interface was built using Tailwind CSS, with additional UI and animation libraries to create a modern SaaS experience.

The overall workflow is:

WhatsApp → AI Receptionist → Salon Data → Bookings → Dashboard → Analytics

Challenges we ran into

One of our biggest challenges was connecting AI with real salon workflows instead of making it just a basic chatbot.

The AI needed to understand salon information while working alongside bookings, customer data, and dashboard functionality.

Another challenge was keeping AI automation and human control balanced. We wanted the AI to handle repetitive conversations while allowing staff to step in whenever necessary.

We also had to integrate multiple services and keep data synchronized across the application within the limited time of a hackathon.

Accomplishments that we're proud of

We are proud that we built a complete AI-powered salon ecosystem instead of only a chatbot.

SalonAI combines AI, WhatsApp communication, bookings, customer management, analytics, and human oversight into one platform.

We are especially proud of creating a workflow where customers can communicate naturally through WhatsApp while salon staff can manage the business from a dedicated dashboard.

What we learned

We learned that building an AI application is about much more than generating responses.

The real challenge is connecting AI to real data, business rules, and useful workflows.

We also gained practical experience with Firebase, Firestore, Cloud Functions, AI integration, real-time application data, and building a complete SaaS-style web application.

Most importantly, we learned how important it is to start with a real-world problem and use AI where it can provide meaningful value.

What's next for SalonAI - WhatsApp Bookings Dashboard

Our next goal is to make SalonAI production-ready and expand its automation capabilities.

We plan to add smarter appointment scheduling, automated reminders and follow-ups, deeper customer personalization, advanced analytics, multi-staff scheduling, and more powerful WhatsApp automation.

In the future, we want SalonAI to become a complete AI operating system for salons, handling repetitive administrative work while keeping salon staff in control.
