ResourceFlow 🌊

Smarter Reservations for Shared Resources

Inspiration

In universities, offices, and organizations, shared resources such as meeting rooms, laboratories, and equipment are often difficult to manage.

When reservations are handled through messages, spreadsheets, or manual scheduling, problems can arise:

  • Two people may attempt to reserve the same resource for overlapping time periods.
  • Users may struggle to determine whether a resource is available.
  • Administrators may find it difficult to manage resources and reservations.
  • Cancelled reservations may not immediately free up time slots.

We wanted to solve these problems by creating a simple, centralized reservation platform.

That's how ResourceFlow was born.

What It Does

ResourceFlow is a full-stack web application that helps organizations manage shared resources and prevent scheduling conflicts.

Resource Management

Users can create, view, and update resources, including meeting rooms, laboratories, and equipment.

Each resource can include a name, category, location, capacity, description, and availability status.

Smart Reservations

Users can select a resource, enter their booking details, and choose a start and end time.

ResourceFlow checks availability before confirming a reservation.

Conflict Prevention

ResourceFlow detects overlapping reservations for the same resource and rejects conflicting booking attempts.

For example, if a meeting room is booked from 10:00 AM to 11:00 AM, another reservation from 10:30 AM to 11:30 AM will be rejected.

Reservation Cancellation

Users can cancel reservations, automatically making the previously reserved time slot available again.

Interactive Dashboard

The dashboard provides an overview of resources, upcoming reservations, and recent activity.

Responsive Interface

ResourceFlow includes a responsive interface with collapsible desktop navigation and mobile-friendly controls.

How We Built It

ResourceFlow was developed using a modern full-stack TypeScript architecture.

Frontend

  • Next.js 16 App Router
  • React 19
  • TypeScript
  • Tailwind CSS
  • Lucide Icons

Backend

  • Next.js API routes
  • Prisma ORM
  • PostgreSQL
  • Zod validation

Infrastructure

  • Vercel for hosting
  • Neon PostgreSQL for database hosting

Testing

  • Vitest
  • ESLint
  • TypeScript checks

The application uses a relational database to manage resources and reservations.

Backend validation checks reservation details and detects conflicts before accepting overlapping bookings.

Challenges We Faced

1. Preventing Scheduling Conflicts

One of the main challenges was ensuring that users could not create overlapping reservations for the same resource.

We implemented server-side conflict detection and tested it using overlapping reservation requests.

2. Managing Reservation Availability

We needed cancelled reservations to release their time slots correctly.

We implemented cancellation handling and verified that availability is restored after cancellation.

3. Creating a Responsive User Interface

We wanted ResourceFlow to remain easy to navigate on both desktop and mobile devices.

We implemented a collapsible sidebar, responsive layouts, and mobile navigation.

4. Production Deployment

Deploying a full-stack application required configuring the database, environment variables, migrations, and production builds.

We successfully deployed ResourceFlow using Vercel and Neon PostgreSQL.

Accomplishments We're Proud Of

  • Built and deployed a working full-stack application.
  • Implemented resource creation and management.
  • Developed reservation scheduling with overlap detection.
  • Added reservation cancellation and availability restoration.
  • Created a responsive interface.
  • Passed 10 automated tests.
  • Successfully deployed the application for public access.

What We Learned

Building ResourceFlow strengthened our understanding of:

  • Full-stack application architecture.
  • Relational database design.
  • Backend API development.
  • Form validation.
  • Reservation scheduling logic.
  • Responsive UI development.
  • Automated testing.
  • Cloud deployment.

What's Next for ResourceFlow?

We plan to expand ResourceFlow with:

  • User authentication and role-based access control.
  • Stronger protection against simultaneous conflicting booking requests.
  • Email notifications and booking reminders.
  • Calendar integrations.
  • Advanced resource utilization analytics.

Our vision is to make shared-resource scheduling simple, reliable, and accessible to everyone.
