Inspiration
Rental deposit disputes are among the most contentious friction points in residential leasing. Every year, millions of tenants and landlords lose time, money, and sanity arguing over pre-existing scuffs, floor scratches, water damage, and appliance wear. The status quo relies on fragmented camera-roll photos, lost text messages, or easily misplaced paper forms. When move-out day arrives, inspections frequently collapse into a battle of vague memories versus unfair claims.
We built RentSpec to introduce transparency, legal clarity, and indisputable truth to property turnovers. Our goal was to create a mobile-first tool that allows private tenants, landlords, and property managers to generate a standardized, timestamped, and digitally signed property condition report in under 10 minutes.
What it does
RentSpec streamlines the entire move-in and move-out inspection lifecycle into a guided digital workflow:
Guided Room-by-Room Walkthroughs: Systematically documents every room, fixture, meter reading, and appliance with clear condition tags (New, Good, Fair, Poor, Damaged).
Timestamped Photographic Evidence: Captures high-detail photos embedded with tamper-proof timestamps and location metadata.
On-Glass Digital Signatures: Enables both the inspector/landlord and tenant to review findings and sign off directly on the device.
Instant PDF Report Generation: Compiles photos, itemized tables, notes, and vector signatures into a clean, professional, and legally robust PDF document ready to export or email instantly.
How we built it
RentSpec is engineered as an offline-first, cross-platform mobile application backed by scalable cloud infrastructure:
Frontend & Client App: Built using Flutter & Dart to deliver a responsive 60fps experience across iOS and Android.
Backend & Verification: Powered by Firebase (Cloud Firestore, Firebase Authentication, Firebase Storage, and Firebase Hosting) for secure cloud backups and web verification.
Client-Side Document Engine: Integrated a custom PDF compilation pipeline that formats itemized condition tables, high-resolution photo grids, and cryptographic hash verification entirely on the edge.
Challenges we ran into
High-Resolution Media & Memory Constraints: An extensive multi-room property check can easily accumulate $N > 60$ high-resolution images. Compiling an asset-heavy, multi-page PDF on-device without triggering out-of-memory ($OOM$) exceptions required implementing aggressive client-side image downsampling algorithms, dynamic page budgeting, and asynchronous stream processing.Offline-First Data Integrity: Property inspections frequently take place in basements, concrete stairwells, or newly leased units with zero cellular coverage. We designed a local-first SQLite caching layer ensuring that all media, signatures, and form data persist safely offline until an active connection is restored.Cross-Platform Store Compliance: Navigating the strict synchronization requirements of StoreKit 2 and Google Play Billing for mixed monetization models (consumable report packs alongside auto-renewable subscriptions) demanded rigorous lifecycle state handling.
Accomplishments that we're proud of
Successfully Live on the App Store: Built, refined, and officially published version 1.0 of RentSpec on the Apple App Store.Zero-Server PDF Generation: Shifted 100% of the document layout rendering and compilation load directly to the user's device, bringing cloud compute costs to $\$0$ while giving users immediate offline report generation.Streamlined UX: Reduced the time required to complete a comprehensive, legally sound property condition report from over an hour of manual paperwork to under 10 minutes.
What we learned
Speed and Simplicity Win: Users in the real estate space do not want complicated, bloated enterprise suites. They want a frictionless, bulletproof paper trail that protects their security deposits in mediation.
Edge-First Architecture Saves Scale: Handling media compression, layout formatting, and vector signatures locally on the client dramatically enhances user privacy while eliminating server-side latency.
What's next for RentSpec
Google Play Store Launch: Completing closed testing to launch RentSpec on Android.
AI-Assisted Damage Detection: Integrating lightweight computer vision models to automatically highlight wall dents, paint chipping, and tile cracks directly from the camera viewfinder.
Cloud Sharing & Tenant Collaboration Portal: Enabling remote tenants to review, annotate, and counter-sign inspection reports via a secure web portal before final PDF sealing.
