Inspiration
Every quarter, freelancers and sole traders face the same pile: scanned receipts, phone photos and PDF invoices, some saved twice. Retyping them into a spreadsheet takes an evening and still risks claiming the same VAT twice. Cloud bookkeeping apps solve it only if you upload your financial documents to a third party. A NAS already holds these files, so the work should happen there.
What it does
You say "file my Q3 receipts and give me a VAT summary". The Skill:
- lists the period's PDFs and images in your receipts folder;
- flags identical copies, so nothing is counted twice;
- extracts supplier, VAT number, date, net, VAT and gross from PDFs (invoice or receipt schema) and from photos (OCR);
- assigns a fixed category, and flags anything doubtful: amounts that don't add up, VAT with no VAT number, non-GBP, the same invoice number twice;
- shows you the table, then saves a CSV VAT summary beside the files once you confirm;
- after your approval, files every document into
YYYY-MM/<category>, withneeds-review/andduplicates/folders for anything to check.
Nothing is deleted or overwritten. Every write waits for your confirmation and the platform's approval.
How I built it
It is a Uliya Skill: SKILL.md plus three references (category rules, duplicate rules, VAT summary format). It orchestrates only the UGOS expert agents listed in the official kit catalogue:
- ug-filesystem and ug-filemgr through file-agent;
- ug-document through document-agent;
- ug-photo through photo-agent;
- ug-knowledge through knowledge-agent;
- file-workflow through file-agent.
Each step uses only the real result of the previous one. All five delegation states, empty results and partial failures are handled. I validated the package with the official kit checker 0.7.3 (static-pass, 0 errors, 0 warnings). I also checked the rules with a small local Python prototype: 8 unit tests on sample receipts. The prototype is not part of the upload.
Challenges
- Making extraction safe rather than clever: a missing amount stays empty and flagged, never guessed.
- Telling a true duplicate (same supplier, invoice number, amount and date) from two genuine identical purchases.
Accomplishments
A complete, checker-clean workflow where the financial documents never leave the NAS, and the output is a file you can hand to an accountant.
What I learned
How to design a Skill around the NAS's own expert agents and approval flow, instead of around a single chat prompt.
What's next
- Round 2 (if selected): run it on real UGREEN hardware, measure extraction accuracy against a hand-checked quarter, and tune the duplicate and category rules.
- Later: split mixed-rate receipts, and support other countries' VAT.
