Inspiration
The current communication between administration and incoming students is fragmented and inefficient. Overwhelmed by messages across multiple platforms - Slack, WhatsApp, email - both parties struggle with managing queries and retaining key information. Our system addresses this issue with an integrated and automated platform for information sharing and query management.
What it does
To tackle information overload, we offer an advanced chatbot powered by a large language model (LLM). This chatbot automates responses to frequently asked questions and directs students to existing FAQs or previously answered questions, reducing redundant queries and administrative burden. It also intelligently categorizes and routes more complex questions to the appropriate department, ensuring efficient handling. The user-friendly interface makes interactions intuitive. Our platform seamlessly integrates with popular communication channels (Slack, WhatsApp, email) and the school website, ensuring students receive timely updates through their preferred tools. Additionally, it tracks student engagement with shared information, allowing administrators to refine their communication strategies. To further enhance information retention by students and data analysis by administrators, we provide a Weekly Digest feature. This summary includes key updates, assignment deadlines, pre-induction tasks, and necessary forms to keep students organized. For administrators, the Weekly Digest offers a report highlighting focus areas based on the volume and severity of questions, along with feedback on student engagement. Our solution will reduce the communication burden on both administrators and students, consolidate communication channels, improve information retention, and foster a more integrated CMU-Africa community.
