Inspiration
QuoteFlow was inspired by the repetitive, time-consuming process of preparing business quotations. Reviewing customer emails, searching Excel price lists, creating quotes, and drafting replies manually can slow down teams. I wanted to build a solution that makes this process faster and more organized.
What it does
QuoteFlow streamlines the quotation workflow, from customer inquiries to ready-to-review quotations. It connects email inquiries with Excel pricing data, generates quotation files, maintains quotation history, and prepares email drafts for customer responses.
How we built it
I built QuoteFlow around an automated workflow connecting incoming customer inquiries, existing Excel price lists, quotation generation, and email preparation. The goal was to integrate familiar business tools into a more efficient process while keeping the workflow practical for everyday use.
Challenges we ran into
One of the main challenges was connecting different stages of the quotation process while maintaining reliable pricing and organized records. Ensuring that generated quotations could be reviewed before being sent was also important, since pricing mistakes can have real commercial consequences.
Accomplishments that we're proud of
We created a workflow that reduces repetitive administrative work and brings multiple quotation tasks together. Our AI-assisted quotation process has also demonstrated the potential to reduce preparation time from around 30 minutes to 8 minutes per quotation, depending on complexity.
What we learned
We learned that useful automation is not just about generating content; it is about improving an entire business process. Reliable data, accurate calculations, clear records, and human oversight are essential when building tools for real-world business operations.
What's next for QuoteFlow
Our next steps are to improve email inquiry extraction, strengthen pricing validation, introduce approval workflows, expand document-format support, and add analytics to track quotation performance. The long-term vision is to make QuoteFlow a comprehensive quotation management solution for businesses.
