Inspiration

Small businesses often do not fail because the owner lacks effort. They struggle because too much of the business still depends on the owner remembering, chasing, clarifying, fixing, and rescuing work after it has already gone sideways.

ProcessLode was inspired by a simple operational pattern: when handoffs are unclear, follow-up is inconsistent, visibility is poor, and rework becomes normal, the business quietly starts leaking time, margin, and trust.

The first version of ProcessLode focuses on a practical Workflow Health Check for small business owners. It helps identify where workflow friction is showing up across five areas:

  • Handoffs
  • Visibility
  • Rework
  • Owner dependency
  • Follow-up discipline

The goal is not to produce another generic business report. The goal is to help owners see where the real operational drag is coming from, so they can take a clearer next step.

What it does

ProcessLode gives business owners a structured way to assess the health of their internal workflows.

A user answers a short set of questions about how work moves through their business. Based on their responses, the system helps surface likely areas of friction, such as:

  • Work falling between people or teams
  • Customers having to chase for updates
  • The owner being pulled back into too many decisions
  • Repeated mistakes or rework
  • A lack of clarity around who owns the next step

The current version is intentionally lean. It focuses on diagnosis first, because building too much before validating the problem would be the wrong move.

How we built it

The project was built as a lightweight web-based diagnostic experience, connected to a simple lead capture and follow-up workflow.

The structure includes:

  • A public-facing website for ProcessLode
  • A Workflow Health Check assessment page
  • A scoring and results flow
  • Email delivery for results and notifications
  • A database to store submissions
  • Supporting pages for services, resources, privacy, and terms

The build is designed to be practical, low-friction, and easy to improve. Rather than starting with a large platform, ProcessLode begins with a focused diagnostic tool that can generate real conversations with business owners.

Challenges we faced

The biggest challenge was avoiding overbuilding.

It is tempting to turn the idea into a large AI platform, dashboard, automation suite, or consulting marketplace before proving the core problem. Instead, the project stayed focused on one question:

Can small business owners recognise workflow friction in their own business and see enough value to take the next step?

Another challenge was making the language simple. Business process improvement can easily become abstract and corporate. ProcessLode needed to speak in plain owner-level terms: chasing, handoffs, rework, bottlenecks, missed updates, and decisions coming back to the owner.

What we learned

The main lesson was that process problems need to be made visible before they can be fixed.

Many small business owners feel the symptoms every day, but they may not describe them as “process issues.” They describe them as being too busy, too involved, short on time, or constantly pulled back into the work.

ProcessLode reframes those symptoms into operational patterns that can be diagnosed and improved.

What is next

The next step is to validate the Workflow Health Check with real small business owners, gather feedback, and refine the scoring, recommendations, and follow-up pathways.

Future improvements may include:

  • More personalised recommendations
  • Better segmentation by workflow risk profile
  • AI-assisted analysis of responses
  • A clearer pathway from diagnosis to practical workflow improvement
  • Templates and tools to help owners fix the issues identified
  • A stronger reporting dashboard for tracking patterns across submissions

The long-term vision is for ProcessLode to become a practical workflow improvement engine for small businesses that need operational clarity without the cost or complexity of large consulting firms.
