This project demonstrates two real-world approaches used in companies:

1. Human-in-the-loop AI (no API, free, controlled)
2. Fully automated AI workflows (with API)

The goal is to standardize how teams diagnose problems across marketing, product, growth, and operations.

What This Project Builds

This system creates a single, repeatable workflow where:

• A user submits a messy business problem
• The problem is logged in a central system
• AI analyzes the issue using a funnel lens
• The output includes:
  • Root cause analysis
  • Funnel stage diagnosis
  • Recommended actions
  • A short execution plan

The system is designed to be simple, auditable, and easy to adopt inside corporate teams.

How to Build This System (Step by Step)

This project is intentionally built using no-code tools so it can be recreated by non-technical teams.

Tools Used

• Google Forms (problem intake)
• Google Sheets (system of record)
• Zapier (automation)
• Canva (UX explanation)
• ChatGPT (manual or API-based)

The build is split into two modes:

• Without API (human-in-the-loop)
• With API (fully automated) ## Mode 1: Without API (Human-in-the-Loop, Free)

This mode requires no API keys and no paid tools.

Step 1: Create the Intake Form

• Create a Google Form
• Ask users to describe the problem
• Ask where the issue is stuck in the funnel
• Link the form to Google Sheets

Step 2: Set Up the Sheet

• Use the response sheet as the database
• Add columns:
  • AI Status
  • AI Output
  • Funnel Stage (AI)
  • AI Prompt (Copy-Paste)

Step 3: Automation (Zapier Free)

• Trigger: New row in Google Sheets
• Action: Update the same row
• Set AI Status = Ready for AI

Step 4: Run AI Manually

• Copy the generated AI Prompt
• Paste it into ChatGPT
• Paste the response into AI Output
• Funnel Stage (AI) is auto-detected using a formula
• Update AI Status = Completed

Mode 2: With API (Fully Automated)

This mode removes human intervention and automates AI reasoning.

Step 1: Enable API Access

• Create an OpenAI account
• Enable billing
• Generate an API key
• Set a monthly spending limit

Step 2: Update Zapier Workflow

• Keep the existing Google Sheets trigger
• Add a ChatGPT (OpenAI) action
• Send the AI Prompt automatically
• Receive the structured AI response

Step 3: Auto-Update the Sheet

• Write the AI response to AI Output
• Auto-detect Funnel Stage (AI)
• Set AI Status = Completed

This mode is suitable for high-volume or time-sensitive use cases.
