Inspiration
We noticed that colleges have to manage a lot of documents and records for accreditation. Since the information is often spread across different files and departments, preparing for audits can take a lot of time. At the same time, students may not always know which skills they need to improve to meet industry expectations.
We wanted to bring these two problems together and build something that could be useful for both colleges and students.
What it does
PrepX is a campus platform designed around two main features: academic audit support and student skill-gap analysis.
For colleges, the idea is to make it easier to organise documents, map evidence to accreditation requirements, and identify missing information. For students, PrepX aims to show the skills they may need to improve based on industry expectations and help them work towards those goals.
Our main idea is to make academic quality tracking and student development part of the same platform.
How we built it
We approached PrepX as a web application, focusing on how information could be collected, organised, and displayed in one place. The planned workflow includes processing academic documents, organising evidence, analysing skill gaps, and presenting the results through a dashboard.
We are exploring how AI can help with document analysis and recommendations while keeping the results understandable for users to review. We have also considered how the platform could be expanded to work with existing college systems in the future.
Challenges we ran into
One of the main challenges is dealing with documents that have different formats and structures. Finding relevant information is one thing, but connecting it to the correct accreditation requirement is more difficult.
Another challenge is making skill-gap analysis meaningful. Recommendations should be based on relevant industry expectations rather than generic suggestions.
We also had to think about how to prioritise features within the limited time available for a hackathon and focus on the parts that provide the most value.
Accomplishments that we're proud of
We are proud of bringing two related but often separate concerns into one project: helping institutions manage academic quality and helping students prepare for their careers.
We also spent time thinking beyond just the technical implementation. We wanted PrepX to address an actual problem faced by colleges and students, with a clear purpose for each part of the platform.
Our next priority is to make the core features work reliably and demonstrate their usefulness through testing.
What we learned
This project helped us look at everyday college processes from a problem-solving perspective. We learned that a good solution needs more than an interesting idea or an AI feature. It needs to fit the users' actual needs and provide results they can understand and act on.
We also gained a better understanding of the challenges involved in working with documents, connecting information to specific requirements, and designing a platform for different types of users.
What's next for PrepX
We want to improve the document-processing and evidence-mapping workflow, test it with sample accreditation records, and make the results easier to review.
For the student side, we plan to refine the skill-gap analysis and make the recommendations more relevant to students' learning and career goals.
In the longer term, we would like to explore integrations with college systems, support more accreditation frameworks, and use feedback from students and administrators to improve PrepX.
