About PayPilot

Inspiration

Managing invoices, tracking payments, and understanding financial activity can be challenging for freelancers and small businesses. Traditional invoicing often involves repetitive data entry and switching between different tools. We wanted to make this process simpler and more intelligent.

This inspired us to build PayPilot—an AI-powered invoice and payment platform that brings invoice generation, payment processing, and financial insights together in one place.

What We Built

PayPilot is a full-stack financial application that uses natural language to simplify invoicing. Users can describe an invoice in plain English, including customer details, services, prices, and due dates. Gemini processes the request and extracts the information into a structured invoice that users can review.

The platform also provides invoice management, dashboard metrics, PayPal Sandbox payment processing, payment verification, and a Gemini-powered financial assistant that helps users understand their invoice data.

How We Built It

We built PayPilot as a full-stack web application, combining a modern frontend with backend services and a PostgreSQL database hosted on Supabase.

  • Gemini: Used for natural-language invoice extraction and the financial assistant.
  • PayPal Sandbox: Integrated to demonstrate checkout, payment approval, and payment verification without real transactions.
  • Supabase / PostgreSQL: Used to store and manage invoice, customer, and payment-related data.
  • Render: Used to deploy the application and make it accessible online.

Our goal was to create a practical end-to-end workflow—from describing an invoice to verifying its payment—rather than just a standalone AI feature.

Challenges We Faced

One of our main challenges was ensuring that AI-generated invoices preserved the exact details provided by users. Customer emails, invoice descriptions, line items, and amounts needed to remain accurate. We improved the extraction flow and added deterministic handling to make the generated data more reliable.

Integrating PayPal Sandbox also required careful handling of supported currencies, payment approval, and verification. We encountered a currency acceptance issue and resolved it through the merchant’s payment receiving preferences. We also addressed database type mismatches and tested invoice status and payment flows to ensure the records remained consistent.

What We Learned

Building PayPilot helped us understand how to integrate generative AI into a real application while maintaining structured and reliable data. We learned more about payment APIs, database design, environment configuration, deployment, and end-to-end testing.

Most importantly, we learned that a useful AI product needs more than a model—it needs validation, dependable integrations, and a clear user workflow.

With PayPilot, we aim to make invoicing and payment management faster, simpler, and more accessible.
