Inspiration
Freelancers and small studios often juggle invoices, payment links, and spreadsheets just to get paid. We wanted to make that process simpler: describe the work, review the invoice, and collect payment in one flow.
What it does
PayPilot AI turns a plain-English billing request into an invoice draft, then offers PayPal Sandbox checkout. Its dashboard tracks invoices and payment status, while AI coaching cards highlight follow-up opportunities. A local demo mode lets people explore the flow without credentials and clearly labels simulated payments.
How we built it
We built the dashboard with JavaScript and Vite, with an Express server for the API. AG Grid Community displays the invoice ledger. The optional OpenAI Responses API structures billing requests into invoice details. PayPal’s JavaScript SDK and Orders v2 API provide Sandbox checkout and server-side capture. We also prepared a Postman collection, a Render deployment blueprint, and an optional Zapier webhook for confirmed payments.
Challenges we ran into
We wanted the app to be easy to try without requiring API keys, while keeping the real payment flow meaningful. We separated the local demo from PayPal checkout, labeled simulated payments clearly, and kept PayPal credentials on the server. Another challenge was making invoice details easy to review before checkout, so the AI creates a draft for the user to check rather than silently charging a customer.
Accomplishments that we're proud of
We connected invoice drafting, customer review, PayPal Sandbox checkout, and payment tracking into one small-business workflow. We’re also proud that the project includes setup instructions, an open-source license, and integrations that judges can explore without first configuring every optional service.
What we learned
We learned how PayPal’s Sandbox Orders flow fits into a web app, why payment capture should be confirmed server-side, and how AI can turn natural-language requests into structured data. We also learned to make demo behavior transparent and keep API secrets out of the frontend and source repository.
What's next for PayPilot AI
Next, we’d like to add persistent customer and invoice storage, editable invoice line items, payment reminders, and richer cash-flow reporting. We’d also like to record a live walkthrough using PayPal Sandbox credentials so the demo video shows the real checkout and capture flow.
