Inspiration

Bills, receipts, contracts, and bank statements pile up in one messy folder on the NAS — duplicated, misnamed, and impossible to find at tax time. PaperTrail started from that very folder: the documents were all there, but nothing was organized, deduplicated, or searchable.

What it does

PaperTrail turns one messy NAS folder of bills, receipts, contracts, and statements into a deduplicated, tax-ready, searchable archive — and files nothing until you approve its plan.

It is a Skill for UGREEN AI NAS (UGOS), entered in the "Automate Your Workflow" track. It scans a documents folder, detects duplicates, and proposes an approval-first, deterministic filing plan: nothing is moved, renamed, or filed until you review and approve the plan. Once approved, it files documents into a clean, tax-ready structure, produces a monthly digest of what arrived and what was filed, and lets you ask your archive questions and search it in plain language.

How we built it

PaperTrail was built as a Skill for UGREEN AI NAS running on UGOS, developed solo and newly during the hackathon period (November 2026). The Skill defines a deterministic filing workflow — scan, deduplicate, propose a plan, wait for approval, then file — plus a monthly digest and an ask-your-archive search over the filed documents.

Challenges we ran into

The hardest part was making filing trustworthy: a filing assistant that moves the wrong document is worse than no assistant at all. That is why the filing plan is deterministic and approval-first — the Skill proposes exactly what it will do, and files nothing until the plan is approved. Deduplication also had to be careful, so true duplicates are caught without merging documents that only look alike.

What we learned

We learned that automation on a home NAS has to earn trust before it earns convenience: transparent plans, explicit approval, and a clear monthly digest matter as much as the filing itself.

AI disclosure

An AI assistant (Claude) was used for drafting documentation and prototype code.
