Inspiration

We noticed that small companies struggle with chaotic onboarding—documents scattered everywhere, missed steps, and new hires feeling lost on day one. We wanted to build something that creates clarity, confidence, and structure from the very first interaction.

What it does

OnboardFlow centralizes the entire onboarding process into one guided, role-based platform. New hires get a personalized checklist where each task contains its required resources—forms, videos, documents, or links. As tasks are completed, both the employee and manager get real-time progress updates, with automated notifications sent to HR or IT whenever follow-up actions are needed.

How we built it

We built OnboardFlow entirely using Base44. Base44’s no-code/low-code building blocks helped us create:

A clean role-based checklist interface Resource-rich task cards Automated workflow triggers A real-time progress dashboard Secure role permissions so each employee only accesses their tasks

Using Base44 allowed us to rapidly prototype, iterate, and build a fully functional onboarding management system without complex backend setup.

Challenges we ran into

Enforcing role-based access so one user cannot view another user’s tasks Linking documents, links, and forms inside individual task cards Triggering notifications at the exact moment a task is completed Keeping the interface simple while handling many onboarding steps

What we learned

Building with Base44 taught us how powerful modular workflows can be. We learned the importance of clear UI, tight permissions, and automation in reducing HR workload and improving the employee experience.
