Numina (Sagebox): Real-Time Closing Project Story

Inspiration

Our initial focus was on the plight of financial analysts — observing the paralyzing state of information overwhelm where scattered tools and disparate apps made it impossible to gain real insight. We sought to address the endless context switching that killed efficiency.

The definitive direction for Numina emerged after we spoke with Edward, a Certified Public Accountant (CPA). Edward confirmed a crucial, systemic failure: the core problems of CPAs and CAs and the month-end book closing persist, even in the age of automation. He explained that small-business clients (who lack dedicated accounting teams) simply shift the entire, unverified mess onto his desk, forcing him to be the end-of-chain verifier.

We realized the critical gap was the lack of AI Agents fundamentally designed to improve the closing process. Edward challenged us to build that solution, giving us the clear mandate to engineer Numina to solve the "crunch time" problem for accounting professionals globally.


What it Does

Numina is the invisible AI layer that integrates with existing accounting environments (QuickBooks, ERPs) to achieve Real-Time Closing. It does not replace accounting software; it replaces the manual work, data chase, and month-end chaos around it.

It automatically performs three core functions:

  • Ingestion: Extracts unstructured financial data (receipts, POs, invoices) from emails and documents.
  • Standardization & Validation: Uses rules-based AI to validate and align data instantly, converting it into the exact, standardized structure auditors require.
  • Proactive Feedback: Instantly flags ambiguous or incorrect entries for human review, preventing errors from cascading and ensuring continuous accuracy.

How We Built It

Building Numina was a journey focused on engineering a seamless, two-way integration and a reliable AI pipeline, broken into three critical phases:

  1. Ingestion & Standardization Pipeline: Built AI Agents to robustly handle unstructured data, parsing documents from diverse formats and normalizing the data into an audit-ready JSON structure.

  2. Intelligent Validation Engine: Developed rules-based AI for real-time, cross-system validation (e.g., matching email receipts to ERP purchase orders), which occurs instantly upon data entry.

  3. Proactive Feedback Loop: Engineered the system to instantly flag inconsistencies for human review, turning the role of the finance team from retroactive detective to proactive monitor.


Challenges We Ran Into

The most significant hurdle was balancing time and commitment for a complex project outside of our primary responsibilities. However, our genuine love for the problem and the constant validation from CPAs and CAs asking us for the solution became the push and energy that fuels our progress.

Technical challenges included:

  • Taming Unstructured Data: Financial data is inconsistent. We implemented a confidence-scoring model that automatically routes any data extracted with less than (95\%) certainty to a human expert, ensuring quality control.

  • Guaranteeing Ledger Integrity: To prevent duplicate or partial transactions when pushing data to core systems, we architected the integration layer to ensure all database operations were atomic and idempotent, preserving the integrity of the financial ledger.


Accomplishments That We’re Proud Of

Our greatest source of pride is the strong external validation and the engineering rigor of the core platform:

  • Solving a Persistent Problem: Earned the direct mandate from Edward the CPA, demonstrating that we are addressing a problem that exists even in the age of automation.

  • Market Resonance: Achieved real-world resonance among CPAs in the USA and Chartered Accountants (CAs) in India.

  • Core Engineering: Successfully built an atomic and idempotent integration layer that guarantees the integrity of financial ledgers while handling complex, real-time data flow.


What We Learned

The journey of building Numina reinforced a critical lesson about financial automation: automation is not about replacement; it's about empowerment.

We learned that the success of the project hinged on focusing not just on speed, but on delivering audit-ready data trails and confidence to the final customer — the auditor. The greatest value of our AI lies in its ability to perform proactive correction, effectively eliminating systemic errors by fixing them the moment they occur.


What’s Next for Numina: Real-Time Closing

We are focused on two major areas for growth:

  1. Expanded Integrations: Integrating Numina with a wider range of high-volume ERP platforms (e.g., SAP, Oracle, NetSuite) to broaden our market reach beyond QuickBooks.

  2. Advanced Ambiguity Classification: Training machine learning models to automatically classify the intent of ambiguous entries (those currently below (95\%) confidence) to further reduce the need for human intervention and achieve even closer to zero-touch closing.
