Inspiration

In B2B sales, preparation before a meeting can be the difference between a deal won and a deal lost. Yet, many salespeople and founders jump into meetings without a clear structure for aligning on goals, outcomes, or client context. I wanted to create a simple, repeatable tool to help sales professionals and teams walk into every meeting confidently—with the right information, mindset, and intent. The idea came from real-world pain points observed while helping sales teams improve their process from discovery to close.

What it does

The Meeting Preparation Checklist is a digital tool that guides users through a structured series of prompts before every important meeting. It includes sections like:

  • Meeting objective clarification
  • Stakeholder research
  • Key questions to ask
  • Relevant data or metrics to bring
  • Anticipated objections
  • Desired outcomes and next steps

Once completed, the tool generates a clean, shareable summary that can be saved, emailed, or used as a personal prep note.

How I built it

I built the tool using a lightweight front-end framework (React with Tailwind CSS) to ensure a fast and responsive UX. For data storage and sharing, I used Firebase for quick backend integration. The UI was designed to be clean, minimal, and easy to complete in under 10 minutes—because salespeople are busy and tools should fit into their flow, not interrupt it.

Challenges I ran into

One key challenge was balancing comprehensiveness with simplicity. I didn’t want to overwhelm users with too many fields, but I also didn’t want to miss critical preparation elements. Another challenge was ensuring the checklist worked for different types of meetings (e.g. discovery, proposal, negotiation) without being too generic.

Accomplishments that I'm proud of

  • Built a working MVP in under a weekend that’s actually usable in real-world sales workflows

  • Got positive feedback from early testers who said it made them feel more prepared and focused

  • Created a design that people wanted to reuse instead of just trying once

What I learned

  • Simplicity wins. A tool doesn't need to be flashy to be impactful—it just needs to solve a real pain point clearly.
  • Real user feedback is invaluable. A few insights from actual salespeople shaped the final version far more than I expected.
  • Design matters, even in internal tools—especially when you're targeting professionals who care about credibility.

What's next for Meeting Prep Checklist

  • Add templates based on meeting type (e.g. "First Call," "Demo," "Negotiation")
  • Integrate with Google Calendar and CRM platforms like HubSpot or Salesforce
  • Include team collaboration features (shared checklists for multi-rep meetings)
  • Eventually turn it into a Chrome extension or Slack integration for even faster access
