Inspiration

MeetFlow was inspired by a common problem I experienced while participating in student organizations and committee activities. Meeting notes are usually written manually, making it difficult to remember important decisions, assign responsibilities, and follow up on action items. As a result, many tasks are forgotten and team collaboration becomes less efficient. I wanted to build a simple platform that helps student organizations, communities, and small teams manage meetings more effectively by using AI-assisted features to summarize discussions and organize follow-up tasks.

What it does

MeetFlow is an AI-assisted meeting management platform that simplifies the entire meeting workflow. Users can create organizations, schedule meetings, write meeting notes, generate AI-assisted meeting summaries, create action items, assign tasks, monitor task progress, and receive notifications. Instead of reading long meeting notes repeatedly, users can quickly understand the meeting outcome through structured summaries while keeping every task organized in one place.

How I built it

I built MeetFlow using Laravel 12 as the backend framework with PHP and MySQL as the database. The frontend was developed using Blade and Tailwind CSS to create a clean and responsive interface. The application follows the MVC architecture, making it easier to maintain and expand in the future. For the AI summary feature, I implemented a custom backend service that processes meeting notes into structured summaries, action items, and important decisions using predefined prompts and application logic.

Challenges I ran into

One of the biggest challenges was designing an AI-assisted summary feature that produces clean and structured outputs from long meeting notes. Another challenge was creating a simple user interface while integrating multiple modules such as organization management, meetings, meeting notes, tasks, notifications, and dashboards into one application. I also improved data isolation so each user can only access their own organizations, meetings, and tasks.

I'm proud of building a complete meeting management platform from scratch within a limited development period. Some features that I'm most proud of include:

Beyond building the application, I successfully created a workflow that helps organizations reduce manual administrative work, improve accountability, and keep every meeting outcome organized in one place.

What I learned

This project helped me improve my skills in Laravel development, MVC architecture, relational database design, authentication, CRUD implementation, and responsive user interface development. I also learned how AI-assisted workflows can simplify meeting documentation and improve productivity for organizations.

What's next for MeetFlow – AI Meeting Management Platform

In the future, I plan to continue improving MeetFlow by integrating a real Large Language Model (LLM) to generate more intelligent meeting summaries and recommendations. Future improvements include:
