Inspiration
MeetFlow was inspired by the growing challenge of managing meetings efficiently. Teams often spend more time documenting discussions than making decisions. Important information often gets buried in lengthy meeting notes, action items are forgotten, and following up becomes difficult. I wanted to explore how AI-powered workflows could transform meeting documentation into structured, actionable information, allowing teams to focus more on collaboration instead of administrative work.
What it does
MeetFlow is an AI Meeting Intelligence Platform that helps organizations manage meetings more efficiently. The platform allows users to:
- Create organizations
- Schedule meetings
- Write meeting notes
- Generate AI-powered meeting summaries
- Extract important decisions
- Generate action items
- Assign tasks to team members
- Track task progress
- Receive meeting notifications Instead of manually reviewing long meeting notes, users instantly receive structured information that is easier to understand, organize, and act upon.
How I built it
MeetFlow was built using:
- Laravel 12
- PHP
- MySQL
- Blade
- Tailwind CSS
- Git & GitHub The application follows the MVC architecture to ensure scalability, maintainability, and clean code organization. To simulate AI-powered meeting intelligence, I implemented a backend processing workflow that analyzes meeting notes and generates structured summaries, important decisions, and action items using predefined prompts and application logic. This architecture is designed to be easily integrated with modern Large Language Models (LLMs) in future versions.
Challenges I ran into
One of the biggest challenges was designing a workflow capable of transforming lengthy meeting notes into concise, meaningful, and well-structured outputs. Another challenge was integrating multiple modules—including organizations, meetings, notes, tasks, notifications, and dashboards—into a seamless user experience while maintaining a clean application architecture. I also implemented user-based data isolation so every user can only access their own organizations, meetings, and tasks.
