Inspiration
Medical equipment plays a vital role in patient care, and unexpected equipment failures or delayed maintenance can affect hospital operations. We wanted to develop a centralized system that simplifies medical equipment tracking, improves maintenance planning, and helps hospital staff monitor equipment conditions efficiently. This inspired us to build MedTrack, a smart solution for managing the complete lifecycle of medical equipment.
What it does
MedTrack is a medical equipment lifecycle and maintenance management system designed for hospitals and healthcare facilities. It provides centralized equipment records, maintenance scheduling, equipment status monitoring, warranty tracking, automated alerts, and dashboard analytics. The system supports role-based access for Admins, Technicians, and Staff, allowing users to perform their responsibilities securely. It also maintains service histories, generates reports, and helps identify overdue maintenance and critical equipment.
How we built it
We designed MedTrack using the MERN stack, consisting of MongoDB, Express.js, React.js, and Node.js. The frontend uses React, Bootstrap 5, and custom CSS to provide a responsive interface with dashboard visualizations. The backend uses Express.js and Node.js to handle API requests and application logic, while MongoDB stores equipment, user, maintenance, and alert records. JWT authentication and bcrypt password hashing support secure login, while role-based access control manages permissions. Automated maintenance checks and alerts help keep equipment information up to date.
Challenges we ran into
One of our main challenges was organizing equipment, maintenance, warranty, and alert information in a consistent way. Implementing role-based access control while ensuring that each user could access only the appropriate features required careful planning. We also worked on connecting the frontend, backend, and database smoothly, calculating equipment statuses based on maintenance dates, and presenting complex information through clear dashboard visualizations. Maintaining a consistent and responsive user interface across different screens was another important challenge.
Accomplishments that we're proud of
We are proud of designing MedTrack as a centralized platform for managing medical equipment throughout its lifecycle. The project brings together equipment registration, maintenance scheduling, warranty monitoring, automated alerts, role-based access, and reporting in one system. We are also proud of integrating dashboard analytics and maintenance history to make equipment information easier to understand. The modular architecture provides a foundation for future enhancements and demonstrates how web technologies can address practical healthcare management challenges.
What we learned
Through MedTrack, we strengthened our understanding of full-stack web development using the MERN stack. We gained practical experience in designing REST APIs, connecting React components with backend services, managing MongoDB data, implementing authentication, and controlling access based on user roles. We also learned the importance of structured database design, validation, error handling, responsive UI development, and systematic testing. Most importantly, we understood how software can help improve operational efficiency and support better maintenance practices in healthcare facilities.
What's next for MedTrack: Medical Equipment Lifecycle Management System
Our next goal is to enhance MedTrack with predictive maintenance capabilities using historical service records and equipment usage data. We plan to introduce email or SMS notifications, QR-code-based equipment identification, and more detailed maintenance cost and downtime analytics. Future improvements may include IoT sensor integration for real-time equipment monitoring, mobile-friendly technician workflows, and advanced analytics to identify recurring equipment failures. These enhancements could help hospitals make more informed maintenance decisions and manage their medical equipment more efficiently.
