Inspiration

Traditional library systems in schools and colleges are often split across fragmented tools, sluggish spreadsheets, or outdated desktop software. We wanted to build a modern, lightning-fast web dashboard that gives administrators total visibility over their entire library ecosystem in a single glance. Our goal was to eliminate paperwork and simplify complex inventory and fine tracking.

What it does

The Library Management System is a centralized admin portal designed for educational institutions. Key features include:

  • Live Overview Metrics: Track total book volumes, active loans, and overdue counts instantly.
  • Smart Fine Tracking: Automatically calculates and aggregates real-time pending fines (such as displaying active fines like ₹1,390 at a glance).
  • Dynamic Overdue Lists: Displays critical student loan statuses, expected return dates, days overdue, and exact penalty amounts to keep operations transparent.
  • Quick Management Actions: Easily register new inventory into the book catalog and manage student profiles seamlessly from a single dashboard.

How we built it

The application is constructed with a responsive, modern frontend framework optimized for data visualization and management. The UI utilizes custom state logic to handle heavy transactional datasets, while the entire stack is configured to pull fluid data updates dynamically. For deployment, we set up a containerized workflow on LingoQL to ensure reliable performance and seamless cloud hosting.

Challenges we ran into

One of our biggest hurdles was getting the static frontend and the cloud backend to communicate flawlessly after initial deployment, leading to a few "Failed to fetch" and 503 gateway timeout errors. Overcoming these required adjusting container port configurations, strictly aligning environment variable keys (VITE_API_URL), and configuring Cross-Origin Resource Sharing (CORS) so the server safely accepts requests from our deployed domain.

Accomplishments that we're proud of

We are incredibly proud of building a highly responsive, clean user interface that compresses deep data tables (like transaction history and overdue lists) into an intuitive, elegant layout. Successfully debugging the cloud deployment pipeline and getting the full application live on LingoQL was a massive milestone for us.

What we learned

This project gave us deep hands-on experience with cloud deployment workflows, setting up containerized environment variables, and diagnosing network integration mismatches. We also learned how crucial structured data design is when managing interconnected relationships like students, books, and active financial transactions.

What's next for Library management system for colleges and schools

We plan to introduce automated email/SMS alerts to notify students the moment a book becomes overdue. Additionally, we want to implement advanced analytics charts to help institutions track which genres or textbook titles are most popular, allowing for smarter inventory purchasing decisions.
