Inspiration

I’ve been building custom CRMs and management tools for small businesses for years. Clients are always happy at launch, but when I return months later, many have abandoned the systems and gone back to Excel, paper, and emails.

The pattern was clear: even good systems fail when they require constant manual input and learning. Small business owners don’t lack tools they lack time. Koppie Business Hub was inspired by the idea that software should do the work for the owner, not become more work.

What it does

Koppie Business Hub is an intelligent cash-flow assistant for small businesses. It helps owners get paid faster by tracking invoices, automating follow-ups, and using AI to highlight exactly what needs attention without requiring constant manual input.

Instead of managing a system, business owners get clear guidance on what to act on next.

How we built it

We designed Koppie Business Hub around real workflows used by South African businesses. The system focuses on invoices, payments, and follow ups, with AI used to reduce decision making and repetitive tasks.

The product was built as a lightweight web app with automation and background processes handling reminders, prioritisation, and insights keeping the interface simple and owner-friendly.

Challenges we ran into

The biggest challenge was resisting feature creep. It was tempting to add CRM, analytics, and reporting features, but we learned that clarity and focus matter more than completeness.

Another challenge was designing AI features that feel helpful and trustworthy, not intrusive or confusing, especially for non-technical users.

Lastly finding the right tools and work they way we wanted and also being cot effective was a challenge, from finding the right database, orm, object storage...

Accomplishments that we're proud of

  • Building a focused MVP that solves a real, painful problem
  • Designing AI features that reduce effort instead of adding complexity
  • Creating a product that fits real South African business behaviour
  • Keeping the system simple enough that owners actually want to use it

What we learned

We learned that adoption matters more than features. A smaller system that quietly helps every day is more valuable than a powerful system that requires constant attention.

We also learned that AI works best when it supports decisions, not when it tries to replace the user.

What's next for Koppie Business Hub

Next, we plan to onboard pilot businesses, refine the AI prioritisation logic, and expand integrations with local payment providers.

Our long-term goal is to make Koppie Business Hub feel like a silent business partner one that helps owners stay on top of cash flow while they focus on growing their business.
