Inspiration

We built Katana Personal because managing your life can start to feel like managing a business. Between tasks, appointments, ideas, responsibilities, and constant notifications, most productivity apps give you more things to manage instead of helping you feel more in control.

We wanted to build something different: a calm, intelligent operating system for your life that helps you capture what's on your mind, understand what actually matters, and take action without adding more mental clutter.

What it does

Katana Personal brings the important parts of your day into one place.

It gives you a simple daily workflow built around Today, Quick Capture, Daily Briefing, and Evening Close. You can quickly capture thoughts and tasks, understand your priorities, and use AI to turn information into useful actions and context.

The goal isn't to make you manage another complicated productivity system. It's to make it easier to answer three questions:

What matters? What should I do next? What can wait?

How we built it

Katana Personal was built as a modern, mobile-first application using Next.js, React, TypeScript, and a PWA architecture, with a focus on making the experience feel natural on both web and mobile.

We incorporated multiple AI models, including Claude and Gemini, to power different intelligent experiences throughout the application.

We also designed the product around a personal-first data philosophy, where your information should remain useful and accessible without requiring you to constantly interact with a complicated backend system.

As we moved toward iOS, we integrated the application with Xcode and Apple's developer ecosystem, allowing us to test the experience on iOS and prepare Katana Personal for distribution through the App Store.

Challenges we ran into

The biggest challenge wasn't simply getting the application to work. It was figuring out how to make it powerful without making it overwhelming.

There are endless features we could have added, but every feature creates more complexity for the person using it. We constantly had to ask whether something actually made the user's day easier or simply gave them another thing to manage.

We also faced the technical challenge of taking a web-based application and making it feel like a real mobile product. Getting the UI, responsiveness, AI functionality, authentication, data persistence, and iOS experience to work together required a lot of iteration and testing.

Accomplishments that we're proud of

We're proud that Katana Personal went from an idea about building a better personal productivity system to a functioning application that we could actually run and test on iOS.

We're especially proud of the daily workflow we've created. Instead of treating productivity as an endless list of tasks, Katana Personal is designed around the entire day — capturing information, deciding what matters, taking action, and closing out the day.

We're also proud of getting the application to the point where it can be packaged and distributed as a real iOS application rather than remaining just a prototype.

What we learned

We learned that building a great productivity product is less about adding features and more about removing friction.

We also learned how much work happens between having a working application and having a product that someone can actually use. Testing across devices, refining the interface, integrating AI, handling authentication and data, and preparing for the App Store all exposed challenges that aren't obvious when you're only building the core functionality.

Most importantly, we learned that AI is most useful when it reduces the amount of work the user has to do. We don't want Katana to simply give users another chatbot. We want it to understand context and help people move through their day.

What's next for Katana Personal

Katana Personal is just the beginning.

Our next focus is getting the application into users' hands, learning how people actually use it, and continuously improving the experience based on real feedback.

We're working toward expanding the intelligence of Katana while keeping the experience simple, private, and calm.

Our long-term vision is for Katana Personal to become a true personal operating system — one place that understands your life, helps you focus on what matters, and quietly handles the complexity behind the scenes.
