Inspiration

In today’s fast-paced world, many small and medium businesses still juggle their operations across papers, spreadsheets, and WhatsApp chats. We saw business owners struggling with managing sales, inventory, and finances — not because they lacked effort, but because technology wasn’t built for their simplicity. That inspired us to build KarobaarAI — a platform that brings the power of enterprise resource planning (ERP) to the apps people already use every day.

What it does

KarobaarAI is an AI-powered ERP system accessible directly through WhatsApp. Businesses can simply message commands like:

• “Add 10 chairs to inventory”
• “Generate last month’s sales report”
• “What’s my profit this quarter?”

Our AI assistant interprets these messages using a custom-trained LLM, routes them to the correct ERP module, processes them via Odoo backend APIs, and delivers instant insights — as charts, PDFs, or summaries.

In short, it turns complex business management into a simple conversation.

How we built it

We designed KarobaarAI with modularity, scalability, and accessibility in mind:

• Backend: Odoo ERP integrated through FastAPI as a gateway.
• AI Layer: Built with LangChain and custom-trained LLM agents for natural language understanding.
• Frontend: Flutter mobile app for dashboard access.
• Chat Interface: WhatsApp Cloud API for seamless user interaction.
• Database: PostgreSQL and MongoDB for structured and unstructured data.
• Reporting: Automated visuals with Pandas, Plotly, and PDFKit.
• Deployment: Dockerized on Railway and DigitalOcean for lightweight hosting.

Challenges we ran into

• Designing a conversational flow that feels truly natural for non-technical users.
• Managing real-time API synchronization between WhatsApp, FastAPI, and Odoo.
• Handling multilingual input and informal message styles.
• Maintaining data integrity while keeping latency low on cloud servers.

Accomplishments that we're proud of

• Built an end-to-end chat-based ERP prototype that works on WhatsApp.
• Enabled businesses to manage sales and inventory through simple messages.
• Designed a low-code, mobile-first architecture ready to scale nationwide.

What we learned

We learned that simplicity is the ultimate sophistication. Businesses don’t want more tools — they want clarity and control. We also learned the value of human-centered design, iterative prototyping, and how AI can bridge the gap between traditional workflows and modern automation.
