Inspiration Manual invoice processing is a massive bottleneck for businesses, leading to delayed payments, human error, and disconnected financial workflows. We were inspired to build InvoiceFlow AI to bridge the gap between document ingestion and enterprise-grade approval, turning a days-long process into a matter of seconds.

What it does InvoiceFlow AI is an intelligent, agentic solution that automates the entire invoice lifecycle. It extracts key data from invoices, reconciles them against purchase orders, flags discrepancies, and routes exceptions for human review. By using UiPath Maestro, it orchestrates the handoff between AI agents, existing ERP/CRM systems, and human stakeholders.

How we built it We combined our custom AI-powered extraction logic with the UiPath Platform to create a secure, governable enterprise flow.

Orchestration: We utilized UiPath Maestro to model our invoice workflow, ensuring clear tasks, decisions, and handoffs between AI agents and human users.

AI Integration: We leveraged coding agents (via Cursor/Gemini CLI) to accelerate the development of our agent logic, which integrated seamlessly with the UiPath environment.

Platform: The entire solution is orchestrated on the UiPath Automation Cloud, tying together our invoice parsing logic with enterprise-grade governance.

Challenges we ran into Integrating a standalone web application into a formal enterprise orchestration layer required us to rethink our state management. We had to move from a standard database-driven flow to an event-driven model that the UiPath platform could manage effectively, specifically ensuring that "human-in-the-loop" approval stages functioned correctly within the Maestro Case management system.

Accomplishments that we're proud of We are proud of successfully porting our AI extraction logic into an agentic workflow that survives interruptions and handles complex discrepancies automatically. Achieving this integration within the hackathon timeframe while maintaining clear visibility for human approvers was a major win for our team.

What we learned We learned the critical difference between a prototype and an enterprise-ready agent. Building on the UiPath platform taught us how essential governance, error handling, and structured orchestration are when deploying AI agents at scale in a business environment.

What's next for InvoiceFlow AI We plan to expand the agent's capabilities to support multi-currency reconciliation and automated dispute resolution. Our goal is to further integrate with a broader range of ERP systems to provide a truly universal "plug-and-play" invoice automation agent for any business size.
